Executive Personal Assistant to Dynamic Director/Co-owner of Production company
Location: West Hollywood, with a mix of office hours (9 am - 6 pm) and remote work from a Hollywood home. Flexibility required due to the dynamic nature of the work environment.
Compensation: Salary DOE capped at $125,000 - $130,000, Health Benefits + lunch, Reimbursement for gas and mileage.
We are seeking an experienced Executive Personal Assistant to support an exceptionally vibrant and jovial director who has collaborated with some of the biggest talents worldwide. This role requires a candidate with a can-do mentality, understanding that no task is too big or small, and who will serve as the right hand and ground control for this creative and intellectual professional.
Key Responsibilities:
Manage higher-level operations and delegate tasks to the team while also being hands-on to ensure seamless day-to-day operations.
Understand and accommodate the creative mind, providing support for various projects, including bidding and shooting commercials, collaborating with producers and treatment teams, and communicating ideas with writers.
Handle an ever-changing calendar and schedule, ensuring the prioritization of the most critical initiatives.
Provide gentle guidance and reminders for upcoming calls, meetings, appointments, etc.
Organize travel arrangements, itineraries, and offer recommendations for restaurants, galleries, and local attractions during travel.
Maintain an awareness of interesting exhibits or food locally and abroad.
Manage day-to-day lists of accomplishments and tasks, sharing daily updates with the client and providing end-of-day summaries.
Exercise patience, organizational skills, and adept texting ability with the client while maintaining professional communication with the in-office and external team via email.
Assist in managing a runner for pickups and drop-offs.
Provide support to the client's wife and remotely manage two homes in Hollywood, as well as commercial properties and an NYC home.
Collaborate closely with agents, managers, and a business manager.
Qualifications:
Previous experience supporting a high-profile and busy creative individual.
Appreciation for intellectual pursuits, well-read, knowledgeable about cinema, plays, books, and culture.
Ability to thrive in a fast-paced and dynamic environment, with experience in ''set life'' being a distinct advantage.
Strong organizational skills, attention to detail, and effective multitasking abilities.
Excellent communication skills for interacting with both the client and the broader team.
