Job Description - Executive Legal Assistant
Growing Entertainment Law Firm is seeking a well-organized Executive Legal Assistant to join their team for a full-time in office position. This position requires effective communication with high profile clients and personnel. The applicant should have strong computer skills and be a high functioning administrator. Prior administrative experience supporting a high-level executive is preferred; prior law firm experience not required.
Responsibilities:
• Handle administrative needs of Executive
• Answers phone calls and direct calls to appropriate persons or takes messages.
• Managing document flow, including creating and maintaining departmental digital and physical files
• Maintain calendars and assist executives with scheduling as well as identifying and resolving conflicts
• Arrange conference calls and meetings / dial-in for attorneys
• Plan work-related travel details
• Maintaining/ Ordering supplies and stationery
• Word processing (composing, generating, and revising agreements and letters)
• Creating, proofreading, and editing documents in Word, Excel, and other Microsoft programs as needed
• Gathering signatures on documents
• Distributing and following-up on documents
• Updating databases and lists, including the shared and google drive
• Tracking in-person and virtual legal compliance trainings
• Handling new-employee onboarding and set-up, expense reports and other admin tasks from time to time
• Processing expense reports
• Performing special assignments, projects and other general administrative as needed
• Maintaining discretion and confidentiality in all matters
Qualifications:
• Bachelor's Degree
• Previous experience as an executive secretary, administrative assistant, or in other related fields
• Strong computer skills including a high proficiency in MS office and windows
• Superior organizational and time management skills with the ability to anticipate, prioritize and fulfill multiple tasks with an acute
attention to detail and deadlines
• Shown ability to work under pressure, perform efficiently, balance multiple high priority tasks simultaneously, and meet tight
deadlines
• Dependability, discretion, and attention to detail
• Self-starter with a team-player attitude
