A leading entertainment company is conducting a confidential search for an experienced and highly organized Executive Assistant to support a senior executive. This role requires a polished, proactive professional who thrives in a fast-paced environment and can anticipate needs, solve problems independently, and operate with the highest level of discretion.

What You'll Do
calendar management
• Manage and prioritize a complex and constantly evolving executive calendar.
• Coordinate meetings across multiple time zones and stakeholder groups.
• Anticipate scheduling conflicts and proactively identify solutions.
travel coordination
• Arrange domestic and international travel, including flights, accommodations, ground transportation, and itineraries.
• Ensure seamless travel logistics while adapting quickly to schedule changes.
Communication & Executive Support
• Serve as a primary point of contact on behalf of the executive.
• Screen and manage incoming communications with professionalism and discretion.
• Draft, edit, and proofread correspondence and presentations.
Meeting & Event Coordination
• Coordinate internal and external meetings, including logistics, agendas, materials, and follow-up action items.
• Prepare briefing documents and ensure the executive is fully prepared for key engagements.
Project Management
• Support confidential initiatives, special projects, and departmental priorities.
• Track deadlines, manage follow-through, and ensure projects remain on schedule.
Relationship Management
• Build and maintain strong relationships with internal teams, clients, and external partners.
• Represent the executive and organization with professionalism and sound judgment.
Confidentiality
• Handle sensitive and proprietary information with the utmost discretion and integrity.
Flexibility
• Maintain flexibility to support changing business needs, including occasional evening and weekend availability.
What You'll Bring
• Previous experience in the entertainment industry, talent agency, management company, production company, studio, network, or related environment.
• Proven experience supporting senior-level executives in a fast-paced organization.
• Exceptional organizational, prioritization, and multitasking abilities.
• Strong written and verbal communication skills.
• High level of professionalism, discretion, and emotional intelligence.
• Proficiency with Microsoft Office Suite, Outlook, PowerPoint, Excel, Word, and virtual meeting platforms.
• Strong problem-solving skills and a proactive approach to supporting executive needs.
• Ability to remain calm and effective under pressure while managing multiple competing priorities.
