Boutique entertainment law firm in Westwood seeks skilled and self-motivated full-time, in-person Executive Assistant with excellent written and oral communications skills who is comfortable and effective in communicating with artists and celebrities as well as other talent representatives. We are looking for a candidate with a highly professional demeanor and positive outlook. Position requires the ability to multi-tasks in a fast-paced and constantly changing environment while prioritizing deadlines Duties include managing contract process, scheduling, drafting basic correspondence and form letters, editing documents, and typical office duties. Candidates should have a minimum of two years of experience in the entertainment business and a bachelor's degree is preferred. All candidates should be trained in using Microsoft Word and Excel, Outlook, DocuSign, Excel, and Adobe.
Duties
• Manage and maintain calendars, including scheduling meetings and appointments using Microsoft Outlook Calendar
• Prepare, proofread, and transcribe documents and correspondence with attention to detail
• Screen calls to office and direct inquiries appropriately
• Perform data entry, filing, and record-keeping tasks to ensure accurate documentation
• Manage office supplies inventory and facilitate office management duties including front desk responsibilities.
• Utilize office software such as Microsoft Office Suite (Word, Excel), Adobe, DocuSign for electronic signatures, and other relevant tools to streamline workflows
• Maintain confidentiality of sensitive information while providing exceptional customer service to internal and external stakeholders.
Qualifications
• Minimum of two years of experience in the entertainment business as an assistant
• Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
• Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and familiarity with Microsoft Outlook Calendar
• Strong typing skills along with proofreading and transcription abilities.
• Exceptional phone etiquette skills for handling multi-line phone systems professionally.
• Demonstrated project coordination experience with the ability to manage multiple deadlines efficiently.
• High level of computer literacy with familiarity in data entry, filing systems, and clerical procedures
• Excellent communication skills-both written and verbal-and a professional demeanor
