We are a dynamic and growing film festival seeking a reliable and dedicated Executive Assistant with agency experience to support our high-level executive across two ventures. The ideal candidate will be responsible for providing comprehensive administrative support to ensure the executive's office operates efficiently and effectively. This is a remote role, but being local to Los Angeles is a bonus.
Key Responsibilities:
Manage and prioritize multiple email inboxes, ensuring timely responses and handling of sensitive information.
Schedule and coordinate meetings, appointments, and travel arrangements for the executive.
Organize and maintain the executive's digital files and documents.
Prepare reports, presentations, and briefing materials for meetings and events.
Serve as the primary point of contact between the executive and internal/external stakeholders.
Handle confidential and sensitive information with discretion.
Conduct research and provide insights to support the executive's decision-making process.
Assist with the planning and execution of special projects and initiatives.
Track project progress and ensure deadlines are met.
Prepare and manage project documentation and correspondence.
Draft and proofread emails, memos, and other communications on behalf of the executive.
Coordinate and facilitate effective communication within the executive's team and with external partners.
Handle miscellaneous tasks and errands to support the executive's productivity and efficiency.
Anticipate the executive's needs and proactively address potential issues.
Qualifications:
Proven experience as an Executive Assistant or relevant role supporting high-level executives.
MUST HAVE prior agency experience.
Must be able to handle high volume communication.
Excellent written and verbal communication skills.
Strong organizational and time-management skills with the ability to multitask.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
Familiarity with project management tools (e.g., Asana, Trello) is a plus.
High level of professionalism, discretion, and attention to detail.
Ability to work independently, take initiative, and handle high-pressure situations.
