Award Winning commercial production company seeking a self-starter who excels in fast-paced and exciting environments as an executive assistant for its Managing Director and EPs in the commercials and animation department as well as those looking to gain valuable experience working behind the scenes at a busy and woman/minority owned production company.
Job is an ENTRY LEVEL position. Job is in-person full time, however, ideal candidates will be experienced in remote work and be able to manage and handle tasks on their own without in-person supervision. Candidates will be required to be located in Los Angeles (expected hours are M-F 9am - 6pm PT with lunch and breaks) but occasionally overtime or paid weekends / holidays as needed.
Wage range is $35,000 - 42,000 per year. Starting salary at $17.28/hr + benefits. Raise after 6 mo. trial period. We are looking for a 1 year contract after a 6 month trial period (18 months). Benefits include health care, including vision and dental, Paid time off and 401K options.
The ideal candidate for this job is someone positive, proactive, energetic, confident, detail-oriented and resilient. A growth mindset is essential - as is the desire to be a collaborative and meaningful contributor to our hard working, tight knit team. Must be tech-savvy. Experience or a basic understanding of commercial production is a plus but not required.
Job to start mid-to-late July 2024.
Duties include, but are not limited to:
• Managing calendar, including scheduling and arranging meetings via Zoom + Dial Ins
• Managing incoming calls
• Track and respond to phone and email correspondence
• Create and maintain inventory databases and spreadsheets
• Review / proof treatments, and coordinates the writing / visual aspects of projects and pitches
• Maintain contact sheets
• Arranging travel accommodations and preparing itineraries
• Preparing expense reports
• General office and administrative duties including electronic and physical filing
• Assists with Dropbox management / file organization for the commercial department
• Working and coordinating with vendors and other production staff
• Drafting emails, documents, and memos
• Coordinates department intern(s)
• Shipping packages
• Running errands
• Supports with Production/Shoot related matters (sending award emails, keeping in contact with production teams for key dates, etc)
• Special projects and other duties as needed
• Awards show submission

• Proficient in MS Office (Excel & Word), Apple Mail + Calendar, Asana, Dropbox, as well as Google Suite.
• Able to learn new software / programs quickly.

• An ability to maintain a high level of accuracy in preparing, tracking and entering information.

• Drivers license, car insurance and reliable vehicle.
