Accomplished boutique production company looking for a rockstar assistant to support the Director and his Producer. Organized and extreme attention to detail is a must. Intuitive ability to anticipate needs before they are asked of you. Multi-tasker who thrives under pressure in a fast-paced, unique work environment while maintaining a positive and professional demeanor.
Job responsibilities include but are not limited to:
•Manage heavy emails, calendar, and phones
•Manage office
•Handle all business and personal related runs, shopping, gifts, etc.
•Manage and track receipts and invoices to create monthly expense reports
•Assist with all business and personal travel with extreme attention to detail
•Assist Director and Co-Producer with any family orientated tasks scheduling
•Assist with planning any company events, dinners, meetings, etc.
•Assist with all general administrative functions such as mailings, filing, and organization of all digital inventories
•Assist with any special projects as needed
•Maintaining/organizing existing office systems
•Coordinating with all vendors for home and office
What We're Looking For:
•Demonstrates professionalism and ability to maintain the highest level of confidentiality; this is absolutely critical in this role
•Ability to shift priority quickly in response to changing circumstances, remaining flexible, calm, and focused while multi-tasking at a very fast pace
•Strong note taking skills are a necessity
•Excellent organizational and follow through skills a must
•You must be a team player with a can-do attitude who doesn't take no for an answer.
•Very tech savvy
•You are deadline driven, proactive in follow up and maintain the inherent belief that no task is too big or
too small.
•You are extremely organized and execute with meticulous attention to detail in every aspect of your work
Requirements:
•Bachelor's Degree or equivalent years' experience
•1-2 years relevant experience at a production company, network,
agency or similar
•Polished verbal & written communication skills
•Proficient with Word, Excel, PowerPoint, and G-Suite
•Familiarity with Adobe Creative Suite is a plus
•Looking for someone with special skills to bring something new to the team
