Executive Assistant
A newly formed Production Company supported in a joint venture with an industry leader is poised to be a leading provider of premium content and is looking to build a dynamic, experienced, and out-of-the box thinking team.
The Executive Assistant will support multiple executives and assist in a wide array of administrative and creative tasks to support a variety of productions and developing shows in this fast paced environment that values communication, inclusion and provides room for growth.
This is a remote position, at this time we are only considering candidates who reside in NJ, NY, GA, TX,CA, and FL. Occasional travel to Atlanta headquarters, nationwide Production Offices, and shoot locations is required.
Responsibilities
Managing complex calendars, scheduling appointments and meetings for the Executive team
Collect and organize all show materials in a shared drive for easy access to Executives
Assist with staffing as needed with outreach to agents, producers, and other production staff for collection of resumes, inquiries about interest and availability, and scheduling interviews.
Work with HR to keep and update an ever growing roster of production staff
Stay current with industry related news and pop culture happenings
Manage special projects, events, and presentations as required
Support the Series and Development teams with creating presentation decks as needed
Troubleshoot tech challenges for the Executive Team
Prepare for and participating in all Creative calls to take notes and follow up with action point reminders
Familiarize yourself with key players at company, networks and vendors to be able to facilitate communication amongst all departments
Conduct research relevant to the series development and production
Order supplies and make other purchases for Executive Team
Coordinate bookings (travel and accommodations) for business travel and maintain accurate itinerary for the Executive team
Qualifications:
Previous experience as an Executive Assistant, Office Production Assistant, or similar role; ideally with both small and large scale technology companies
Previous media and entertainment experience preferred
Efficient time management, organizational skills and ability to work in a fast-paced, high-pressure creative environment with changing priorities, while maintaining the highest degree of confidentiality
Proven ability to adapt to your responsibilities and respond well under pressure or in time-critical situations
Experience balancing several important tasks and complex requests in a timely manner
Experience managing expenses, preparing, and submitting T&E reports
Ability to pivot quickly, anticipate needs, and execute with strong attention to detail
Exceptional interpersonal, written and verbal communication skills
Proficient in Word, Excel, Gmail, Google Drive, PowerPoint or Slides and social media usage
Knowledge of pop culture and current events and strong creative opinions and ideas
Some occasional travel will be required
Flexibility in tasks, hours worked (expected OT on short notice)
