Boutique music management company looking for an executive assistant to work full time for the President and COO. Interest in music management a plus, but not a necessity. A car and drivers license is required. Hours are 9am - 6pm Monday through Friday, but must be flexible for potential evening or weekend hours.
Responsibilities include:
Acting as a point of contact between your boss and all others
Answering phones / receiving calls, taking messages, and routing correspondences as necessary
Maintaining calendar(s) including scheduling meetings, calls, and appointments as well as providing pertinent information and reminders
Handling all travel arrangements both in the US and internationally
Taking notes for meetings and calls as needed
Completing and submitting expense reports
Following up with proper people to ensure projects are completed in a timely manner
Researching and thinking outside the box to get answers or find solutions
Trouble-shooting / problem solving for an array of possible challenges
Creating documents
Answering emails
Completing boss's tasks as needed and as appropriate to make deadlines
Qualities of a successful Assistant:
Proven experience (minimum of 1 full year) as an executive administrative assistant, another secretarial position, or as a personal assistant
Comprehension of all office management systems
Excellent knowledge of MS Office and Google Drive
Exemplary planning and time management skills
Ability to multitask and prioritize daily workload
High level verbal and written communications skills
Discretion and confidentiality
Must be able to work both independently and as part of a larger team
Detail oriented
Being proactive, but also being able to react quickly and efficiently to changes
