Seeks an experienced Executive Assistant / Studio Manager to manage music studio operations and personal matters. The candidate must be highly organized, detail oriented, resourceful, and willing to assist with a wide range of tasks. This is not an entry-level position. We will only be considering candidates with a proven track record and veteran experience in a similar role, as well as stellar references.
A 40-hour work week comes standard, but this is considered an on-call position and hours can increase during busy times. A successful candidate must have a 24/7 mentality and be willing to work evenings and weekends when needed.
You will be part of a small in-office team of assistants that works as a cohesive unit. A friendly and outgoing yet professional personality is key. Leadership qualities and a history of project management are a huge bonus, as this role will have broad oversight of general studio operations and needs, while other assistants focus on details within specialized roles.
You will serve as a primary point of contact for producers, directors, agents, publicists, the artist's management team, vendors, and other key partners. An interest in music and entertainment is highly valued, but a background in the industry is not required.
Responsibilities and Expectations
• Manage the artist's personal and professional schedule and maintain an accurate calendar
• Field phone calls and diplomatically manage call traffic
• Oversee email correspondence with studios, managers, publicists, vendors, and other contacts
• Prioritize incoming communications based on urgency and deadlines
• Maintain clean, consistent formatting across shared documents and communications
• Oversee upkeep of the studio and office areas to maintain a professional appearance
• Maintain basic studio inventory, including office items, drinks, snacks, and supplies
• Liaise directly with the business office, including submitting receipts, tracking invoices, and processing expenses
• Coordinate vendor scheduling needs with the artist's Estate Manager and work closely with them to identify scheduling opportunities at the home
• Attend recording sessions and live shows as needed to assist with the artist's needs, including transporting items, greeting guests, providing directions, taking food orders, and supporting logistics
• Proactively anticipate the needs of the artist and team before they arise
• Coordinate personal appointments, activities, special occasions, gifts, and reservations as directed
• Maintain discretion and professionalism in all external-facing communications
• Occasional travel when needed
Required Skills and Qualifications:
• Proven experience as an Executive Assistant, Studio Manager, Operations Manager, or similar high-level support role
• Excellent written and verbal communication skills
• Fluency in the Apple ecosystem, including Mac OS, iPhone, and related productivity tools
• Proficiency with Google Workspace and standard office applications
• Strong time management skills and the ability to prioritize multiple tasks effectively
• Strong project management skills and the ability to oversee operations on a macro scale
• Valid driver's license and reliable transportation for errands as needed
• Valid passport for occasional travel as needed
• Ability to handle high-pressure and high-expectation scenarios
• Must be available and on-call, including on short notice
• Strong discretion, sound judgment, confidentiality, and loyalty
• Dependable, adaptable, and able to work calmly under pressure
Bonus Skills and Qualifications:
• Understanding of social media and new media platforms and trends
• Basic knowledge of Photoshop and Final Cut Pro
• Knowledge of website and team management platforms
• Knowledge of DAWs
• Basic electronic file management
• Experience in music, entertainment, or another creative environment
