Executive Assistant, Production & Operations
A leading production company in reality television is looking for an Executive Assistant with an excitement for unscripted production to support both the Current Production and Operations departments. This opportunity is ideal for someone fresh in the industry, who wants to support and learn the production process from greenlight to post. This entry-level position will support multiple executives and requires an individual who is organized, thrives and can be efficient working remotely and has the ability to adjust with ever-changing priorities.
Responsibilities include:
- Performing administrative tasks such as scheduling meetings, arranging travel, maintaining calendars, note taking, completing expense reports, etc.
- Maintaining up-to-date awareness of executives' obligations in order to proactively assist and/or anticipate needs, and help maintain deadlines.
- Developing familiarity with all projects in production, corresponding network teams and names of all relevant talent involved with each project in order to aid in scheduling, production support and general operations workflow.
- Maintaining calendar of pre-pro, production and post milestones, including show premiere and finale dates.
- Maintaining a database of preferred production vendors and staff.
- Creating and updating agendas, outlines, creative decks, one sheets and show bibles for projects as needed.
- Serving as back-up to other staff when necessary.
- Assisting with productions, departmental projects and events as needed.
- Assisting wherever needed for show production and company operations.
Qualifications:
- At least one year production and one year assistant experience.
- Must be organized, thorough and able to efficiently multitask in a fast paced environment.
- Experience handling confidential information.
- Excellent writing and verbal communications skills.
- Experience and proficiency in Google Suite, Microsoft Office and iWork.
- Willingness to work extended hours as needed and travel to locations if necessary during heavy production periods.
- Must have a desire to consistently learn and grow.
- Basic skills with Avid and/or Premiere, and Photoshop is a plus.
**This position is primarily remote. A suitable workspace, a computer/laptop with a reliable internet connection and a mobile phone are required for this position. Interviews will be conducted via phone and zoom.**
