Executive Assistant
Based in LA, this is a high profile administrative role, which requires an individual who is motivated, very organized, independent, and has the ability to be flexible with ever-changing priorities.
KEY RESPONSIBILITIES
Maintain very demanding google calendar; including appointment scheduling across multiple time zones with constant interaction between executives and EA's on both coasts and internationally.
Support weekly departmental meetings
Handle high volume phones, including answering all incoming calls, rolling calls, setting up conference dial-ins and occasionally taking notes
Maintain up-to-date awareness of the executives obligations in order to proactively assist and/or anticipate needs
Able to work in a high pressure and dynamic environment
Able to communicate and maintain decorum with talent
Read, interpret, and write email correspondence
Foresee and/or manage risk, conflicts, and problem areas
Respond to changes quickly and proactively alter priorities when necessary
Arrange all domestic and international travel plans for executive
Process expense reports in a timely manner
Maintain executive's database of all contacts
Protect organization's value by keeping information confidential
Other duties as assigned
Coordinate special projects as needed, including preparing materials for executives meetings, pitches and reporting
Plan casting kick off meetings at the start of every new show, coordinate across all necessary departments and take and distribute notes for all kick offs
Keep record of the entire department's projects and days spent on each project
Keep an updated database of all talent (interviewed, used, and prospective)
MINIMUM QUALIFICATIONS:
1-2 years experience in an administrative role, preferably supporting high-level executives
Television, Film, or Agency experience preferred
Strong typing skills; MAC proficient with solid skills in MS Word, Excel, and PowerPoint
Excellent oral and written communication skills are a must
Able to multi-task and have excellent follow-through
Self-starter with the ability to prioritize, organize and establish administrative procedures
Ability to handle confidential information and interact professionally with high-level executives, clients, and talent
Comfortable and confident working in different time zones and with various cultures
Familiarity with major industry players (agents, network executives, other studios)
