Entertainment Legal Assistant
Entertainment law firm is seeking a dynamic, experienced Entertainment Legal Assistant to provide general and legal administrative support for five (5) attorneys in a busy entertainment law practice. This role will be based out of the New York office.
As a Legal Assistant, you will perform a wide range of administrative duties and confidential tasks in a fast-paced environment. Strong interpersonal skills are necessary to interface with clients, attorneys, and staff.
Responsibilities will include but are not limited to:
• Heavy scheduling across various calendars and time zones; every evening must make sure Partner's calendar for the next day is fully confirmed with other parties, links, phone numbers, meeting locations, etc.
• Preparation of monthly attorney expense reports
• Answering partner office phone line(s)
• Preparation of new client intake documents including conflict searches, new matter memos, engagement letters, and conflict waivers
• Data entry for certain client invoices
• Keeping client's digital files organized and saving important documents, such as fully-executed agreements to the file
• Track, update and organize matters across attorneys' desks such as maintaining database of open agreements and matters, and following up on agreement status with opposing parties
• Handle e-mail correspondence and execution of agreements; assist with DocuSign signatures
• Rotating reception desk coverage with other assistants
The ideal candidate will be/have:
• Passion for the arts, music, film, and television
• Minimum one (1) year of experience in the music industry within the business and legal affairs department at a record label, music publisher, and/or law firm
• High school diploma or equivalent required; Bachelor's degree preferred
• Strong verbal, writing, proofreading, editing, and redlining skills
• Resourceful self-starter with desire to take initiative
• Superb accuracy, be detail-oriented, and complete tasks in accordance with instructions and possess strong follow-up skills
• Ability to multi-task, prioritize work, and thrive in a fast-paced team environment
• Capability of simultaneously handling large volumes of work/matters in organized manner
• Ability to handle confidential information
• Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
• Easy going (but dedicated) disposition with a good sense of humor
