Award-winning production company. is seeking a Director of Operations and Finance to oversee the day-to-day operations and financial administration of our production company and physical office, including edit suites and theater facilities. This is a hands-on leadership role responsible for ensuring that our office, edit suites, theater, rentals, vendors and administrative systems operate smoothly, while also overseeing core financial processes including accounts payable/receivable, credit card reconciliation, payroll benefits administration, invoicing, and financial reporting. The ideal candidate is an experienced operations professional who is comfortable working across departments, managing multiple priorities, solving problems independently, and partnering with our outside accounting/bookkeeping team, Post Executive, legal counsel, IT vendors, and company leadership. Prior experience with a production company, post production facility, or similar creative-services business is strongly preferred. Proficiency with QuickBooks is required.
This is a full time in-person, benefits-eligible position.
Operations & Facilities
• Oversee the day-to-day operation of the company's physical office, including edit suites and theater facilities, ensuring that the workplace is organized, functional, and operating smoothly.
• Coordinate with the Post Executive and IT vendors to support edit-suite rentals and ensure that facilities, equipment, and technology are ready for clients and project teams.
• Manage office policies, procedures, and systems and ensure they are implemented consistently.
• Manage onboarding and offboarding for employees, project staff, and renters, including keys, alarm access, seating, equipment, and IT requirements.
• Maintain company Gmail, Google Drive, Dropbox, and related administrative accounts, including onboarding and offboarding users.
• Establish and maintain relationships with office, facilities, technology, and other vendors.
• Coordinate office insurance coverage and related administrative requirements.
• Work with legal counsel to manage contracts and agreements for renters and subtenants.
• Manage quotes, estimates, invoicing, and billbacks associated with office, facilities, equipment, and edit-suite rentals.
Finance & Accounting
• Maintain accurate records of company expenses and oversee monthly credit card reconciliations and receipt collection.
• Manage petty cash requests, reconciliations, reimbursements, and related documentation.
• Oversee invoicing, billbacks, and other accounts receivable activities related to company operations and rentals.
• Work closely with the company's bookkeeping and accounting firm to ensure QuickBooks is accurate, current, and properly maintained.
• Coordinate the preparation of monthly P&L statements and annual financial forecasts for review with company leadership.
• Support production and development teams with project accounting, budgeting, and cash-flow tracking.
• Provide financial and operational information to company leadership as needed to support decision-making.
• Manage miscellaneous distribution and release-related requests for company-managed projects.
Payroll & Benefits Administration
• Manage and process biweekly payroll, coordinating with the company's payroll provider and internal/external accounting resources as appropriate.
• Manage employee benefit invoices, deductions, and related administrative processes.
• Maintain accurate employee and payroll records and coordinate with relevant vendors and advisors on payroll and benefits matters.
Qualifications Required:
• 5+ years of relevant experience in operations, finance/accounting administration, office management, or a related field.
• Demonstrated experience managing multiple operational and administrative functions in a fast-paced environment.
• Strong working knowledge of QuickBooks and fundamental accounting principles.
• Experience with expense reconciliation, invoicing, accounts payable/receivable, and financial reporting.
• Experience managing or coordinating payroll and employee benefits administration.
• Exceptional organizational skills and attention to detail.
• Strong written and verbal communication skills.
• Ability to work independently, prioritize competing demands, and exercise sound judgment.
• Proficiency with Google Workspace, including Gmail and Google Drive.
Strongly preferred:
• Experience working at a production company, post-production company, post house, or other creative-services organization.
• Familiarity with production accounting, project-based financial management, or production workflows.
• Experience managing office facilities, edit suites, screening rooms/theaters, or client-facing production spaces.
• Experience coordinating with outside accounting, legal, IT, insurance, and other professional-service providers.
Salary/Benefits
$110,000.00
- 130,000.00
per year
