ABOUT THE ROLE
This is not a traditional assistant position. The Chief of Staff will run the founder's desk day to day, own the firm's marketing, and, just as importantly, document and systematize how the desk runs so the role becomes a platform rather than a bottleneck. Discretion, polish, initiative, and sound judgment are essential and non-negotiable.
ROLE TRAJECTORY
In the first 12 to 18 months, the Chief of Staff owns all executive support directly while building written playbooks for calendar management, inbox triage, meeting preparation, travel, and marketing operations. As the firm grows, the firm expects to hire an executive assistant reporting to the Chief of Staff, who will delegate the transactional workload and shift toward higher-leverage operations, marketing strategy, and special projects. Candidates should want that trajectory. This role is built for an operator who wants to grow with the business, not a career assistant seeking a stable lane.
EXECUTIVE OPERATIONS
• Own the founder's calendar as a system, not a task list. Design the weekly structure, protect focus and preparation blocks, batch calls and meetings, enforce buffer time, and audit recurring commitments quarterly to confirm they still earn their place.
• Run inbox and call triage under a documented protocol: what is handled directly, what is drafted for the founder's review, what is escalated immediately, and what is declined on her behalf.
• Prepare the founder for meetings, client calls, speaking engagements, and industry appearances with briefing materials, agendas, background research, and timely follow-ups.
• Track priorities, deadlines, and action items across the firm, the founder's producing activity, and her external commitments, and drive them to completion without being asked.
• Serve as liaison between the founder and partners, attorneys, staff, clients, and outside parties, and as gatekeeper and first point of contact.
• Coordinate complex travel around industry markets, festivals, and conferences, and coordinate personal scheduling as needed.
• Document every recurring process into written playbooks so the desk runs on systems rather than memory, and so future hires can be onboarded quickly and held to a clear standard.
• Handle highly confidential client, personnel, and financial matters with absolute discretion. A signed confidentiality agreement is required, and confidentiality is a condition of employment.
MARKETING AND BRAND
• Own and manage the firm's marketing across all channels, with a mandate centered on credibility and market positioning rather than vanity metrics.
• Manage the firm's social media, website, newsletters, and content calendar.
• Coordinate PR, press, awards and directory submissions, speaking engagements, and industry event presence.
• Plan and execute firm events, sponsorships, and client-facing activities.
• Manage outside marketing, PR, and design vendors against clear deliverables and budgets.
• Maintain consistent brand, voice, and quality across all firm materials.
SPECIAL PROJECTS AND OPERATIONS
• Lead firm initiatives and special projects from planning through execution.
• Support the firm's technology modernization, including practice management and AI-assisted workflow tools currently being adopted, and identify opportunities to automate recurring administrative work.
• Attend leadership and team meetings, capture decisions and action items, and drive follow-through.
• Support firm operations, vendor relationships, and administrative needs as they arise.
WHAT WE'RE LOOKING FOR
• Experience directly supporting a CEO, founder, or senior executive in a role that involved real ownership beyond scheduling, in any industry.
• Evidence of having built systems, playbooks, or processes that outlasted your presence in the seat. Be prepared to speak to a specific example.
• Marketing experience across social media, content, PR, and events, ideally with direct ownership of at least one channel.
• Fluency with AI and productivity tools, and genuine comfort learning new technology quickly, including legal practice management software.
• Exceptional organizational and project-management skills; anticipates needs before they are voiced.
• Excellent written and verbal communication, including the ability to draft in the founder's voice.
• Proven ability to handle confidential and sensitive information, with references who will vouch for it.
• Self-starter who thrives in a fast-paced, high-volume environment, stays calm under pressure, and closes loops.
• Interest in eventually hiring, training, and managing support staff under this role.
• Polished, professional presence and sound judgment.
EDUCATION AND EXPERIENCE
• 5 or more years supporting a senior executive, CEO, or founder; prior chief of staff experience, or a clear executive assistant to chief of staff trajectory, strongly preferred.
• Demonstrated marketing experience strongly preferred.
• Entertainment, media, or professional services industry experience a plus.
• College degree or equivalent experience.
PHYSICAL REQUIREMENTS
• Prolonged periods of sitting at a desk and working on a computer.
• Must be able to lift 15 pounds at times.
• Must be able to navigate each department at the firm's facilities.
Salary/Benefits
$90,000.00
- 130,000.00
per year
Salary is commensurate with experience.
