We are an international creative think tank focusing on commercial, music video, film and television production. We're currently seeking an extremely polished Business Affairs Executive Coordinator to support our President and Legal Council. The successful candidate will have strong experience supporting a C-Level Executive in the entertainment industry, has a law background and is passionate about growing a career in Business Affairs.
General Requirements:

Responsibilities:
• Will support an extremely busy Executive and Legal Council
• Excellent phone management skills and etiquette
• Coordinate and provide support for team meetings, events, and conferences
• Manage all scheduling and calendar for Executive
• Schedules all department meetings
• Draft and edit business correspondence
• Prepare and submit expense reports and purchasing requests
• Develops and maintains databases, distribution lists, mailing lists and filing systems
• Familiarity with production budgets
• Prepare presentations for internal/external meetings
• High degree of knowledge related to unions and guilds, production tax incentives, and international co-
productions
• Understanding of delivery requirements to streaming platforms or similar
• Handles travel arrangements, reservations, etc.
• Maintains standards of strict confidentiality with respect to all matters and documents
• Manage and track a high volume of contracts from initial request through execution
• Coordinate with business partners and attorneys to ensure the timely turnaround of legal requests
• Organize legal files
• Assist in the drafting of a variety of legal documents (e.g., non-disclosure agreements, vendor contracts)
• Editing, proofreading, summarizing and redlining agreements, correspondence, contracts and legal documents
• Maintain an awareness of the Executive's obligations in order to proactively assist and/or anticipate needs
Experience & Skills:
• Bachelor's Degree required
• 3+ years supporting an Executive in an administrative capacity at a Production Company, Agency or Studio
• 4+ years of transactional entertainment legal administration experience working within a studio or network
entertainment environment
• Excellent interpersonal skills
• Demonstrated proficiency with Google docs and dropbox
• Service oriented and passionately curious
• Demonstrated proficiency with Outlook, Word, PowerPoint, Excel
• Willingness to work a flexible schedule to accommodate overtime as needed
• Ability to maintain strict confidentiality
• Ability to handle multiple tasks, respond quickly to shifting priorities and function in a demanding environment with
competing and changing priorities
• Experience building and maintaining filing systems and organizing and maintaining large amounts of data
• Excellent verbal and written communication skills
• A self-starter who is able to work both independently and function well within a team
• Demonstrated ability to work in a team environment where flexibility, keeping others informed and anticipating
needs is essential
• Strong analytical capabilities and judgment
• Detail oriented, organized and able to multi-task
• Demonstrated proactive problem solving skills
• Ability to understand and abstract various legal documents and contracts
• Demonstrated ability to handle confidential and sensitive information
