Established TV/Film production company seeks Assistant to support the Head of Development & Production in Los Angeles, CA.
Responsibilities
Specific responsibilities include, but are not limited to:
• Manage executive's calendar with attention to accuracy, detail, and allocation of time to promote productivity and recognize the need to reprioritize as appropriate
• Keep executive organized and ensure executive is fully prepared for meetings with required materials
• Process and submit business and travel expenses.
• Maintain and improve key information/ report files and tracking system
• Manage the flow of incoming and outgoing materials and requests, including determining the appropriate parties and level of response.
• Suggest and help prepare agendas, presentations, and materials for staff meetings and team events.
• Proactively coordinate annual operational planning process, business planning, and performance review cycles
• Plan team and cross-functional offsites through coordination with hotels and vendors for lodging, catering, flights, A/V, and transport.
• Assist with project management, including follow-up and reminders to appropriate participants.
Basic Qualifications
• 3-4 years of experience as an Assistant
• Experience with executive level calendar management
• Experience with domestic and/or international travel coordination
• Experience with Microsoft Office Products
• Exceptional organizational skills
• Strong written and oral communication skills
• Strong interpersonal skills
• Problem-solving skills
• Integrity and discretion in handling confidential information and in dealing with professionals inside and outside the company
• Ability to prioritize and handle multiple assignments at any given time while maintaining commitment to deadlines
• Microsoft Outlook is essential, as well as Microsoft Word, Excel, PowerPoint, and SharePoint
• US citizenship or permanent residency

• Bachelor's degree

• Aptitude to quickly learn organizational structure, objectives of the team, and the rhythm and requirements of various meetings and processes
