Boutique Marketing & Promotions Agency in Santa Monica is looking for a highly motivated, organized and outgoing Administrative Assistant. A qualified candidate MUST be creative, have administrative support experience, and be able to juggle multiple projects at once while staying organized and self-motivated. Looking for a team player that is solution and results oriented.
Job Responsibilities:
• Assist President in email correspondence/dictation, calendar management, scheduling calls and meetings, filing, research and other various administrative tasks.
• Assist General Manager and other internal personnel/depts. with administrative tasks as needed
• Assist departments in drafting proposals, solicitation materials for client and partnership opportunities
• Clean up and organize contact database and add to MailChimp
• Occasionally assist management of the back-end logistics and fulfillment of sweepstakes promotions/campaigns
• Draft reports and handle miscellaneous projects for clients and departments as assigned
• Communicate regularly with high-level executives, clients, vendors and internal staff on a daily basis
• Updating Outlook Contacts and MailChimp contacts for newsletters and holiday cards
Required Qualifications:
• MINIMUM 2 years of administrative support experience.
• Preferred 2 years of experience in marketing, promotions or entertainment related field.
• Bachelor's degree Preferred.
• Part-time, 25-30 hours a week, flexible schedule.
• Position requires candidate to wear many hats so one must be excellent at organization, multi-tasking, be detailed-oriented, with a positive and professional demeanor.
• Candidate must be computer literate and have knowledge and experience in Microsoft Outlook, Word, PowerPoint, and Excel.
• Must be internet and research savvy.
• Superb communication skills - written and verbal, as this position will requires interaction with both clients and partners.
• Must have good copy writing, grammatical and editing skills.
• Must be a creative thinker, fast learner, resourceful and think outside the box.
• Work well in a fast-paced environment under tight deadlines and over-deliver for clients.
• Know how to take the initiative, work independently and deliver in a timely manner without a lot of handholding.
• Must have excellent interpersonal skills and the ability to handle miscellaneous projects as assigned.
• Good at managing different personalities and maintaining calm under pressure.
• Ability to communicate effectively with internal staff and external clients, vendors, partners.
• A candidate that can hit the ground running is a BIG plus.
Compensation $20-25 an hour, depending on experience. Perks of a flexible schedule!
