A Beverly Hills post-production services facility is seeking an Administrative Assistant to provide live business support, ensuring efficient operation of our vendor and client-facing office. This is an entry-level position.
The selected candidate will support executives, department managers and employees through a variety of tasks related to our organization's daily industry engagement. Note that the person in this role will often be responsible for handling confidential and time-sensitive material.
We're seeking a person with the proven ability to communicate effectively via telephone (in clear, unaccented English), email and the ability to complete assigned tasks accurately based on established schedules. The Administrative Assistant reports to our organization's Senior Management team.
Responsibilities include but are not limited to:
Answering and directing inbound telephone calls.
Organizing and scheduling meetings and appointments.
Maintaining client and vendor contact databases.
Producing and distributing correspondence memos, letters, faxes and forms.
Assisting in the preparation of regularly scheduled reports.
Developing and maintaining document filing systems.
Ordering office supplies.
Booking travel arrangements.
Greeting office visitors and providing general support.
Providing information by answering questions and requests.
Taking accurate notes and minutes of scheduled meetings.
Requirements:
High School Diploma (Some college-level study preferred.)
Microsoft Office Skills
Telephone Call Handling Skills
A Warm, Friendly Telephone Voice
Excellent time management skills as well as the ability to multi-task and prioritize assignments.
Attention to detail and problem solving skills.
Excellent written and verbal communication skills.
Strong organizational and planning skills.
