Administrative Assistant/Talent/Project Coordinator
work remotely, some travel,must be flexible and be available on call when needed:
Small entertainment boutique company is seeking an experienced Administrative Assistant /Project Coordinator preferrably based in Los Angeles who will provide support to the CEO . A successful candidate will be self-motivated, quick-thinking, flexible, collaborative and able to juggle multiple projects and diverse responsibilities with a strong emphasis on organization and an unwavering attention to detail at all times. This is a demanding and fast moving position that requires someone who is able to exercise good judgment and take significant initiative.
Responsibilities include but are not limited to:
• Supporting CEO
• Maintaining high volume, complex calendars for CEO and team projects, including scheduling internal and external meetings with multiple parties across multiple time zones;
• Managing general administrative duties, including processing expense reports, creating and facilitating documents, and ordering supplies;
• Answering phones and rolling calls;
* Must be strong in created google docs,excel and outlook,strong computer skills is a must
*Excellent Communication Skills
• Internal data management, including following up on drafts, DocuSign for signatures, and updating our company data bases and team projects;
• Coordinating talent itineraries,spreadsheets;
• Working and coordinating across teams on various aspects, including conferences,events,productions,festivals and off-site meetings.
• Managing a heavy volume of communication and administrative paperwork internally and externally.
Required Qualifications:
• University Degree;( preferred but no required)
• 2+ years as an administrative or executive assistant, providing support at a fast-paced company (experience in an entertainment setting a plus);
*Comfortable with working with high profile celebrities, executives and clients.
• Team-player who operates in a team-oriented setting;
• Ability to be discrete and maintain confidential information;
• Understanding of how to prioritize and respond accordingly;
• Strong written and verbal communication skills and the ability to multi-task working in a fast-paced environment;
• Strong proficiency in Microsoft Office, including Outlook, Excel and Word
• Proficiency in Google Suites (Gmail, google docs, calendly,microsoft,outlook)
•Constant Contacts
•Ability to handle deadlines and stressful situations
•Courteous, positive and service-oriented
•Owns a laptop
•Must be professional, responsible with a high level of integrity
•Must be able to work well under deadline pressure
•Reliable Transportation and valid DL, passport
*Must be available to travel for work projects.
•Able to wear many different hats and multi-task, able to handle changing priorities and adapt quickly
