We are seeking a hard-working 2nd Assistant to the head of a production company in Venice, CA. The 2nd Assistant will primarily be responsible for handling the personal matters relating to daily tasks, scheduling, travel, accounting, property management, and special projects for the head of production and his family.
This is a great entry-level opportunity for someone that has an interest in production. OThe ideal candidate is thorough, well-organized, proactive, and enthusiastic about getting things done. A reliable self-starter that can successfully prioritize and multi-task accordingly to ensure the smooth running of a busy executive and his family are key for this position. Although experience is preferred, we are open to training the right person.
Responsibilities include, but are not limited to:
Maintaining calendar/schedule and providing reminders for events and weekends
Planning personal and family travel
Maintaining email organization and tracking follow up
Handling all runs errands to include school and activities pick up/drop off
Managing health insurance renewals, claims, paperwork and other related tasks
Maintaining and renewing car registrations and insurances
Tracking and processing school forms and payments
Reconciling accounts and preparing expense reports
Working with accountants regarding donations, transfers and other related tasks
Managing the purchases, repairs, renovations, contractors, guests and maintenance of two residences
Researching gift options and other items interested in purchasing
Other tasks and projects as needed for a busy executive and his family.
Qualifications:
Prior administrative support experience preferred, but not required.
Valid driver's license, insurance and reliable transportation required
Excellent communication, organization and time management skills
Experience interfacing with high-profile clients and executives
Handle sensitive information with good judgment and discretion
Proactive with an ability to take direction and follow up accordingly.
Perform multiple tasks, understanding the urgency and importance of each one.
Excellent computer and technology skills with Mac, Google Apps, Word and Excel.
Ability to accommodate a flexible schedule which may include some evenings and weekends.
