2nd Assistant / Personal Assistant to Founder & Chief Creative Officer, Non-fiction
We are seeking a motivated and experienced 2nd Assistant / Personal Assistant to help support an Academy Award winning Director and Chief Creative Officer (CCO, Nonfiction) of a mission-driven, multi-award winning, film and television production and financing company located in Venice, CA.
The 2nd Assistant will use their superb organizational skills to seamlessly execute a variety of personal projects and tasks, both at the CCO's home and in the office. This position will act as the gatekeeper and right hand to the Lead Assistant; handling all personal matters, streamlining communications, and providing high-level administrative support. Someone with a great attitude and collaborative spirit, who is highly adaptable and efficient in nature, will make an ideal candidate.
Responsibilities include, but are not limited to:
Personal:
• Maintain personal calendars and schedules with strict confidentiality for all matters professional and personal
• Manage personal photo archive on Lightroom as well as personal video backup
• Personal shopping / charitable donations / expenses / handling medications / appointments / insurance and claims
• Provide assistance to family with travel / activities drop-offs and pick-ups
• Support CCO's wife as needed with personal and business-related tasks
• Place & pick up daily lunch orders. Pick up specialty grocery items 2-3 times per week.
• Assist with booking family travel arrangements and accommodations
• Oversee household / yard staff, repairs / construction projects and vendors for two residences.
• Help coordinate and assist with events, guest arrivals and accommodations
Professional:
• Assist with coordinating domestic & international travel; assembling equipment for trips
• Quickly adapt and anticipate the needs of both CCO and Lead Executive Assistant.
• Facilitate internal and external special events, shoots, and meetings.
• Be flexible and lend a hand on films in production as needed.
• Provide support for projects across all disciplines within the company.
• Provide onsite support, including technical support, mailing, and signatures.
• Handle other miscellaneous duties, special events and projects assigned
• Promote teamwork and work well with executives, staff, external associates and visitors at all levels.
Qualifications:
• Team player with a positive/easy-going manner to handle varied personalities, responsibilities, and assignments in a relaxed professional environment.
• A strong work ethic and excellent communication/organization skills with the ability to prioritize and complete tasks accurately & efficiently.
• Strong record keeping skills, with a basic understanding of accounting/bookkeeping.
• Stellar computer and technology skills - Mac, Google Apps, Microsoft Word, Excel, Adobe & Photoshop.
• Bachelor's Degree and previous industry experience as an assistant preferred.
• Valid CA Driver's License and clean driving record
• Reliable transportation
• Los Angeles residency with ability to work full-time in-person, with occasional overtime
• Fully vaccinated
• Available to start working mid-August 2024
