Scope of Work
Phase 1: Operational Setup & Consulting:Your initial priority will be to take our newly formed corporation and establish full operational readiness. Responsibilities include:
• Accounting Software Selection & Setup: Evaluate our business needs and recommend/implement the right cloud-based accounting software (e.g., QuickBooks Online, Xero) along with a clean Chart of Accounts tailored to digital media production and union project tracking.
• Los Angeles & California Compliance: Investigate, apply for, and secure necessary local and state business licenses (including the City of Los Angeles Business Tax), tailored for a remote corporate structure.
• Insurance Procurement: Assist ownership in identifying and setting up essential corporate insurances (e.g., General Liability , Production Insurance, and Workers' Comp).
• Payroll & Union Vendor Assessment: Evaluate our operational model to determine if/when internal payroll is needed. Concurrently, evaluate and select entertainment payroll platforms (e.g., Wrapbook, GreenSlate, CAPS) to handle SAG/WGA union tracking, onboarding, and P&H (Pension & Health) reporting.
Phase 2: Ongoing Bookkeeping Services (Part-Time): Once the operational foundation is set up, you will transition into our dedicated bookkeeping partner. Responsibilities include:
• Managing all Accounts Payable (AP) and Accounts Receivable (AR) digitally.
• Performing monthly bank and credit card reconciliations.
• Tracking project-based expenses, production budgets, and digital production line items.
• Monitoring and reconciling union payroll reports, including SAG-AFTRA and WGA New Media allocations and P&H contribution compliance.
• Generating monthly financial statements (Balance Sheet, P&L, Cash Flow).
• Liaising with our CPA for tax preparation & services.
Qualifications & Experience
• Entity Status: Must be an established business entity (Corp or LLC) operating as a 1099 vendor.
• Entertainment Industry Expertise: Verifiable experience managing financials for production companies or digital agencies, including navigating SAG-AFTRA and WGA New Media agreements, signatory paperwork, and union payroll compliance.
• Deep knowledge of California business regulations, payroll tax laws, and City of Los Angeles licensing/tax requirements.
• Highly proficient in remote collaboration tools, secure cloud file sharing, and digital workflows.
• Software expertise with cloud-based accounting platforms (QuickBooks Online, Xero) and familiarity with modern entertainment payroll software.
Job Details & Compensation
• Location: Fully Remote.
• Job Type: 1099 Contract (Business-to-Business). Note: A W-9 and proof of business entity/insurance will be required upon onboarding.
Salary/Benefits
Please provide your hourly rate for the setup phase (or a flat-rate proposal for Phase 1), along with your expected monthly retainer for Phase 2 ongoing services.
