Personal Assistant to Renowned Writer
Description:
We are a staffing agency seeking a FULL-TIME personal assistant for a high-profile writer based in NEW YORK. The role includes frequent travel (domestically and international) and will require an ''on-call'' attitude. This is not an entry level job; the ideal candidate will have many years of experience in this type of work.
Duties include, but are not limited to:
• Proactively identifying ways to improve efficiency and streamline the client's life and schedule, to maximize time spent writing and time with family
• Managing extremely busy calendar across multiple time zones
• Scheduling personal and business appointments, deadlines, book tours, appearances, speaking engagements, social engagements, and more
• Coordinating domestic and international travel arrangements (including hotels, flights, trains, car services, restaurants, and more)
• Traveling with the client to various locations and working side-by-side with him as needed for several days at a time
• Arranging backup childcare for client's child and nanny while client is traveling internationally
• Supporting employer at events, conferences, and partnership meetings
• Managing heavy flow of emails, drafting correspondence, and prioritizing tasks
• Cataloging reimbursable expenses and submitting them in a timely fashion
• Personal errands as needed
• Managing the day to day requirements of multiple homes
• Completing and filing paperwork, and creating systems to improve organization of client's office and home life
Requirements:
• Adaptive and forward-thinking to stay three steps ahead of anticipated problems
• MUST HAVE extremely high degree of confidentiality and discretion in handling private information
• Exceptional written and interpersonal communication skills to foster and maintain great relationships with people at all levels
• Extremely flexible, with the ability to stay on top of ever-changing priorities and projects
• Incredible sense of follow-up and follow-through
• Incredible understanding of appropriate employer/employee boundaries
• Ability to fill in the blanks for high-level, potentially vague assignments
• Ideal candidate has created a genuine connection with the client and his family, including maintaining constant communication with spouse's staff to help schedule time for family
• Ideal candidate is a supportive team player, with positive working relationships with other members of employer's teams (including business manager, agent, and personal staff)
• Ideal candidate has a proactive work style with clearly demonstrated productivity
• Ideal candidate maintains a positive attitude and is trustworthy regarding confidential details of employer's life
