Executive/Personal Assistant for an extremely successful producer in the event and production arena
Location: NYC
Schedule: Monday through Friday - Typical business days and hours during non production phases - but 24/7 availability/flexibility on an as needed basis for events/production periods and catering to high profile clients.
Salary - 85K-110K DOE + Benefits
A highly successful television producer, who works with some of the most exciting and elite names across the country and the globe, seeks an incredibly organized, discreet, efficient and multi-faceted Executive/Personal assistant. Ideal candidate is an experienced, self-starter mature/elegant indiviudal who wants to be on the production or development track. Wants to work from home and ability to travel are the keys. Would love to find someone who can organize and deal with the big guns/talent - studio heads etc. Hungry, wants the experience. LOTS of room for major growth in 24 months with proven hard work and contribution.
The client specializes as a full service production company producing premium content, live events, and celebrity talent driven series and specials. This is a wonderful opportunity to ''have a front row seat at the table'' and learn about production from development through final execution. As the right hand first assistant, you are an integral part of the team and will have an opportunity participate in all aspects- as well as travel to sets and locations around the world. Previous assistants have grown exponentially with the company and then beyond in the industry and have had amazing opportunities from this desk.
Polished, efficient communication and organizational skills are critical as you will interface with high level clients, studios, networks, and talent - as well as a staff of producers that assist the principal. Main offices are based in New York City and overall deal is with a major media/film company. This role will be a remote position primarily with only partial days at the office and working around the city on an as needed basis.
The keys to being successful in this role/looking for a:
Very positive and self starter mentality, to be highly productive on a daily basis against all goals and assignments with an incredibly strong and reliable work ethic. Maturity, discretion and precision - nothing can ever fall through the cracks and a high level polished organizational skills.
To be effective you are:
A positive and natural caretaker and want to ensure that your principal is always prepped for each meting with documents, decks, specific instructions of address/parking and any other necessary information.
A list maker. Details for each day/week/month are always being managed, while updating your principal.
You are exceedingly organized, enthusiastic and productive
Flexible - able to travel when necessary (can be nights or weekends) based on projects, to pre prep for shoots and available to be on location for several weeks at a time when filming.
Detailed and always on top of a plethora of needs for meetings and or travel/events
True Master at scheduling. Being able to see if a meeting is running late and or changes, how it impacts the rest of the schedule and keeping all organized minute to minute.
Buttoned up in all areas of the position.
Poised and elegant in your dress, presentation, as well as your communication (written or oral)
Tech savvy
Duties will include but are not limited to:
Manage an ever changing schedule both professionally and personally.
Responsible for making sure the principal is set for meetings - prepping decks and managing them while on ZOOM calls, and taking notes for each call. After call sharing a list to make sure principal knows all pertinent information.
Manage expenses for principal in partnership with business management team.
Interface with home based housekeeper as well as manage appointments for vendors for home related needs should they arise.
Personal - shopping/gifting when needed, errands, organizing personal appointments on an as needed basis.
High Level/Concierge Level Booking and managing all travel- flights, drivers, management of points, hotels (can also do advance travel when needed to set up production offices etc)
