The Comedy Central/ Paramount Production Department is seeking an Executive Assistant to assist the department Senior Vice President, Vice President and other bi-coastal Executives. This production team is looking for a highly ambitious individual who wants to develop their skills and grow with the department.
• Manage all administrative needs for the production department
• Manage multiple Executive calendars, including scheduling and planning meetings, and preparation of meeting logistics and materials.
• Proactively advise Executive of appointments, meetings, deadlines and events
• Screen and prioritize incoming phone calls, respond to inquiries and resolve issues requiring attention
• Coordinate travel for shoots, off-sites and meetings
• Process expense reports for the department
• Liaison with numerous internal and external executives
• Assist with the coordination of departmental productions, special projects and events, as necessary
• Create purchase orders and process payments for vendors
• Maintain correspondence with legal, music & media licensing, post production, and producers to deliver a fully approved show
• Track and approve all third-party payments against cash flow schedules
• Research venues/vendors, maintain associated databases
• Help develop database of production support information (resume file, freelance personnel rates and availability, production office space, facilities rates, etc.)
• Maintain SharePoint/Jolt and Scenechronize filing system which contains: contracts, schedules, budgets, project notes, correspondence
• Keep abreast of evolving production procedures and ancillary processes
Basic Qualifications
• Bachelor’s degree
• 1 years experience in the entertainment industry preferably at a production company, TV network or talent agency
• Proficient in Excel, Microsoft Word, Outlook, (Movie Magic and Concur are a plus)
