Responsibilities
Systems and Processes
Overall responsibility for proactively maintaining all HR systems:
• Maintain and update HR systems (SAP, EuHReka and E-days) and any other HR technology as required, including all actions from new hires, leavers, merit increases, employment changes and leaves
• Assist and support in the leavers process
• Work with the Reward team to obtain accurate benchmarking information in light of headcount requests and work with the HR Manager to agree pragmatic solutions that meet business requirements
• Update Global Mobility on any changes to passport documentation and company sponsored visas details and ensure immigration procedures are followed
• Support employees and members of the HR community to self-serve using HR technology
Payroll and Benefits
• Input monthly payroll changes into HR Systems and payroll excel sheets, and work closely with Payroll for employment changes to be processed accurately on a monthly basis
• Run monthly payroll reports
• Administration of any employee benefits
Attract
• Ensure accurate job descriptions are available, roles are benchmarked and full business approval is in place
• Work with the Talent Acquisition team in guiding Hiring Managers through the recruitment and selection process, including occasionally conducting competency based interviews
• Work closely with hiring managers to ensure candidates have the right, consistent on boarding experience
• Manage employee background checks, ensuring completion and recording on HRIS
• Prepare contracts and amendments letters for new and/or existing staff; ensure that all induction pack and offer letter materials are current and in stock; create new employee HR files as required
• Proactively support the broader Campus2Career experience within the Company
• Create employees' accounts in HRIS database, issue employees' SSO numbers to Managers for access request prior to employees' start date
• Ensure probation periods are reviewed by line managers and any performance issues addressed in a timely manner; issue letters confirming outcome of probation reviews
• Own the relationship with Handle (or relevant provider) to ensure compliant engagement of freelancers
Employee Relations
• Provide outstanding and prompt HR services by acting as the first line of support for HR queries, following up with more detailed support for more straight forward employee relations cases where appropriate
• Organise and maintain the filing system for current staff and leavers
• Provide support on external queries e.g. mortgage and other employee reference requests
• Provide administrative support for any restructure and redundancies processes if required
• Be the key contact for maternity/paternity employees ensuring the process is followed
Learning and Development
• Support the HR team to drive key initiatives including performance management, succession planning, annual surveys and employee communications
• Be a brand ambassador for CNBC and NBCU development offerings and ensuring you are able to respond to queries regarding the offerings
• Provide administrative support in relation Talent Lab nominations and other Learning and Development initiatives
Other
• Use HR technology to provide reports and data to HR and business leaders
• Work closely with the HR co-ordinator in APAC in order to ensure a consistent approach across CNBC International
• Actively participate in and lead HR projects and process improvements as and when required
• Responsible for completing government surveys where necessary
• Check and process HR invoices
SKILLS AND EXPERIENCE
• CIPD qualified (desirable but not essential).
• Solid experience across the HR generalist spectrum.
• Experience of managing employee relations activity independently.
• Proven operational HR experience with a good working knowledge of HR practices and procedures, preferably within a large, matrix organisation
• Significant experience of undertaking transactional HR administrative work, including data entry into HR systems and creating paperwork where attention to detail is essential.
• Working knowledge and experience in SAP and payroll input with an ability to produce and analyse reports.
• Demonstrated ability to work independently under pressure and meet tight deadlines. Ability to multi-task and to be flexible is essential.
• Demonstrated ability to assess internal practices and implement a new approach to improve department efficiency.
• Display a high attention to detail and a methodical approach.
• Ability to prioritise workload, excellent organisation and time management skills.
• Ability to be discreet and professional when handling sensitive and confidential information.
• Have an adaptable, collaborative and open style who has the ability to navigate through a complex matrix organisation spread across numerous International territories.
• Ability to build strong working relationships with stakeholders at all levels.
• Possess a solution orientated mind-set who has the ability to deliver on potentially complex matters in a timely and efficient way.
• Excellent written and verbal communication.
• Strong computer skills including knowledge of Microsoft Word, Excel, PowerPoint and Outlook.
• Ability to be a proactive communicator and self-starter is key.
• Professional and calm manner.
• Experience of conducting competency based interviews desirable.
