Cinespace Studios is seeking a Client Services & Studio Operations Coordinator to support the launch and day-to-day operations of our new Woodland Hills campus. This position will report directly to the Head of Client Services & Operations and is an essential part of ensuring a seamless and professional experience for productions on our lot. The ideal candidate is organized, detail-oriented, and has prior experience working with production teams. They must be comfortable working in a fast-paced environment, juggling multiple administrative and logistical tasks, and using digital tools to support both internal operations and client services.
Key Areas of Responsibility:
• Maintain and update tenant portal systems with production and client information
• Track studio billing activity in the ERP system, working closely with finance and operations leads
• Support the Head of Operations with client service initiatives and administrative needs
• Coordinate production-facing logistics including office assignments, parking plans, and site setup
• Serve as a liaison between the facilities team and productions to support day-to-day needs
• Help maintain records and updates in CRM systems to track client engagement and production status
• Track and organize company files including contracts, client profiles, production calendars, call-sheets, contact lists, and general email inbox
• Support client move-in/move-out processes, tenant requests, purchase orders, work orders and requests for additional space including location filming and any other relevant requests
• Coordinate and facilitate site visits for key stakeholders, including producers, government officials, and other internal and external partners
• Support industry and community-related events and projects, organize on-lot client events
• Organize team meetings and create itineraries, order office kitchen supplies, process incoming/outgoing mail and courier services
• Ensure that the studio experience reflects the high standards of the Cinespace brand
Essential Knowledge & Skills:
• Prior experience working in or alongside television or film production teams
• Familiarity with production office operations and site logistics preferred
• Proficiency in Microsoft Office, especially Excel and Outlook
• Strong organizational and multitasking skills with excellent attention to detail
• Professional communication and interpersonal skills
• Comfort working in a collaborative environment and adapting to shifting priorities
• Proactive problem-solving ability and a client-first mindset
