Department: Events Services
Job Title: Event Services Coordinator
Reports To: Manager of Special Event Operations
FLSA: Hourly/Non Exempt
Job Purpose: To provide coordination, support and activation to the Event Services Department events including all food, beverage, merchandise and non-baseball event sales and operations for the Club as well as providing administrative support to the department.
Essential Duties and Responsibilities:
• Maintain open communication and collaboration between the Cincinnati Reds, DNC, vendors, and clients
• Coordinate room break down and set up for events, fulfilling contract to specifications
• Manage and coordinate all deliveries
• Maintain open communication with the Command Center for all events, deliveries, and pick-ups.
• Coordinate assigned meetings/events.
• Maintain open communication and a strong partnership between the Cincinnati Reds and Delaware North Companies
• Provide administrative support including invoicing, organizing, customer support, and filing to the department
• Perform related duties as assigned
Knowledge, Skills, and Abilities:
• Ability to coordinate meetings and conferences which included obtaining supplies and working on special projects
• Ability to deal with a diverse group of external callers
• Candidate must be out-going and have exceptional interpersonal skills
• Independent judgment is required to plan, prioritize, and organize diversified workload. Must be able to multi-task.
• Work requires an excellent command of the English language
• Candidate must have knowledge of office administrative procedures and knowledge of use and operation of standard office equipment and computer software applications including Microsoft Word, Excel and Power Point
• Candidate must be able to handle sensitive and confidential situations as well as demonstrate poise, tact and diplomacy.
• Work requires continual attention to detail and the ability to establish priorities and meet deadlines
• Candidate should have a working knowledge of coordinating events
Work Environment:
• Work is normally performed in a typical interior/office work environment however employee may have ''game-day'' responsibilities where the employee may be exposed to weather conditions prevalent at the time.
• Hours may include nights, weekends and holidays, long hours are the norm.
Expectations:
• Adhere to Cincinnati Reds Organization Policies and Procedures
• Act as a role model within and outside the Cincinnati Reds Organization
Perform duties as workload necessitates
• Demonstrate flexible and efficient time management and ability to prioritize workload
• Meet Department productivity standards
