Ticket Operations Assistant
SUMMARY:
The Ticket Operations Assistant is primarily responsible for assisting the Director of Ticket Operations in the management and overall productiveness of the Ticket Operations Department. The Ticket Operations Assistant will be involved in all aspects of ticketing and assist in the management of the staff and game day personnel. The following constitutes a preliminary list of the primary functions of this position.
TICKET OPERATIONS
• Coordinate the creation of events in Archtics and Ticketmaster (e.g. season ticket plans, partial plans, single game events and promotional events and vouchers).
• Assist in assignment and management of accounts in the SCORE CRM
• Ensure accurate event creation in regard to days, dates, times and opponents
• Assist in league and visiting team game day ticket requirements
• Set up price codes, discount qualifiers and fees as necessary throughout the season to support various sales and marketing initiatives
• Assist with relocation efforts and inventory management for new sales of full season and partial plans
• Generate ticket print files and data files as needed for mailings throughout the year
• Print renewal and playoff invoices or coordinate all aspects of invoice mailings with vendor
• Assist in providing input and proofing collateral material created by sales and marketing departments
• Assist with the daily processing of payments and credits for season tickets and group sales and monitor unpaid accounts as well as unsold seats so that inventory may be released on a timely basis
• Research, resolve & respond to payment problems, delinquent account issues, credit card inquiries and charge backs
• Manage the distribution of tickets for season ticket plans and group sales via mail and those held for pick up at the Box Office
• Assist marketing department in the preparation of list creation for sales campaigns and other mailings and research initiatives
• Support sales & service staff during renewal and new sales efforts (invoice printing, account setup and report generation)
• Help establish and enforce payment processing timelines
• Provide monthly, weekly and or daily reports regarding sales and attendance, etc. as necessary
• Assist in daily reconciliation of deposits
• Create reports for Finance, Ticket Sales and Marketing departments through Archtics
• Ensure price code compliance and accuracy so that sales reports and game audits are accurate
• Resolve issues/errors concerning printing, account manager and online purchases
• Ensure all season plans and any single game promotions are set up properly on Account Manager or on TM host system
• Aid in designing invoices on Archtics painter and ensure accurate formulas and information are printed.
• Assist tracking efforts in the Archtics with regards to ticket type, sales source, and other relevant detailed information
• Import new lead lists into the database and assist with merging and deleting duplicate accounts, as well as distributing leads to Account Executives
• Help update accounts with account representative name, demographic information and sales qualifiers
QUALIFICATIONS
To perform this job successfully, an individual must have previous and successful experience in the above mentioned duties. The requirements listed below are representative of the knowledge, skill, and/or ability required:
• Bachelors degree in business or marketing related field
• 2-3 years of Ticket Operations or Box Office Operations experience
• 1-2 years managing a box office or ticket operations processes in a professional sports or entertainment environment
• Archtics ticket system experience preferred
• SCORE CRM ticket system experience preferred
