PROGRAM COORDINATOR

Reports to: Director of Programming
Classification: Full time, exempt
POSITION DESCRIPTION:
The Program Coordinator is a detail-oriented individual who works closely with the Programming department to support and supervise the flow of information, administration and processes within and across CHF teams. The management of processes are related to both in-person and digital year-round events, including public programs, student seminars and special events. The Program Coordinator should have strong project management skills and organizational skills.
Position reports to the Director of Programming and assists with the day-to-day supervision of part-time Program Staff and Intern(s). This is a full-time position with a salary of $40,000 - $45,000 based on qualifications and experience. Benefits include health, dental, vision, 403b, and a commuter spending plan.
JOB RESPONSIBILITIES:
Administration
• Manage calendars, communications, and all administrative processes for CHF's Programming Team and year-round programming.
• Manage presenter logistics and event itineraries, including travel, hosting, hotel accommodations, riders, and other amenities.
• Assist in generating and issuing contracts, program introduction scripts, and other important documents.
• Maintain and update relevant databases (primarily in Airtable) including pitches, programs, presenter demographics and subject diversity, partner organizations, books sales and signings, budgets, logistics, student registration, etc.
• Collect and share presenter and partner assets (bio, photos, pull quotes, logos, etc.) with CHF's Marketing Team.
• Support presenter and partner festival access, including communications and distribution of badges, comps, promo codes, etc.
• Manage and process reimbursement checks for presenters and presenter hosts, as contracted.
• Train and supervise Program Intern(s) and Fellows as needed.
• Facilitate interdepartmental communication including weekly meetings and individual check-ins with other departments.
• Assist with onboarding new team members into organizational systems such as Airtable, Slack, and Google Drive.
• Serve as the primary point person within the Programming team for all administrative and organizational information flow across departments.
Creative
- Pitch, book, and manage programs both independently and in coordination with other Programmers.
- Assist with developing and maintaining partner relationships.
- Participate in weekly creative programming brainstorming sessions
QUALIFICATIONS:
- A minimum of 2 year's experience working in program coordination and administration.
- Highly organized with a proven track record in project management.
- Wide ranging interest in arts, culture, politics, social issues, science and technology.
- A professional demeanor and excellent written and verbal communication skills.
- Desire to establish strong working relationships and work effectively with others inside and outside the organization.
- Able to multi-task with several projects simultaneously in a fast-paced, mission-driven, collaborative environment.
- High energy, positive personality, flexibility, resourcefulness, and assertiveness in problem solving.
- Solid computer, data entry, and database management experience (Google Suite, Airtable).
- Proficiency on both Macintosh and PC computers environments.
WORK LOCATION
As is true of our entire staff, this role will work remotely until a potential return to our Chicago office in summer or fall 2021. While working remotely, you will have access to a laptop computer and a $25 per pay period ($50/month) stipend to offset home internet and personal phone expenses.
