Full Time Job
Position Overview:
The Windy City Bulls are the NBA G League affiliate of the Chicago Bulls and are in its third season at the Sears Centre in Hoffman Estates, IL.
Our team is seeking a hard-working, dedicated, and well-rounded individual to fill the role of Coordinator of Business Operations. The principal function of this position is to facilitate and integrate operations so that the organization is as efficient as possible. In this role, you will work closely with the Team President and will be actively involved with each area of the company's business functions.
Key Responsibilities:
Primary responsibilities will include oversight of financial processes, coordination of several basketball operations functions and oversight of the merchandise department. Your job responsibilities will also include:
Financial Administration
• Process all League-required financial reports in a timely manner
• Partner with the Chicago Bulls Finance Department to provide budget analysis and tracking as well as communicate on the processing of all receivables and deposits
• Process all sales contracts and produce a weekly ticket and sponsorship sales report for distribution to internal sales staff and management
• Maintain an up-to-date A/R and A/P report
• Develop an efficient process for managing all receipts to ensure timely deposits are completed
• Manage inventories for all office supplies and ensure the company is securing the best price for all purchases
• Assist the President in the reconciliation of all game day settlements with the building manager
• Work with the Ticket Sales Director on processes including on-line ticket package sales, and assistance with commission report submissions
Retail Administration
• Supervise and execute the entire retail operation including hiring and training seasonal personnel, policies and procedures, inventory and accounting for on-site, off-site, non-game day and internet sales
• Responsible for receiving and disbursing inventory via POS system as well as tracking various metrics via the system
• Close out retail locations post-game by receiving money and processing POS reports or compiling inventory spreadsheet for any non-POS locations
• Ensure that the team's retail website landing pages are always up-to-date with current content, accuracy and fulfillment
• Maintain vendor files, approve all merchandise payables for payment, and generate a monthly inventory reconciliation report and provide to Bulls Finance
• Find opportunities to grow merchandise sales with the goal of becoming the top-grossing retail team in our league, including developing unique programs and specials that will drive sales.
Game Day Administration
• Assist in hiring for and management of the Fun Zone and Guest Relations on all game days, including taking the lead on proper set-up of each area.
• Lead the sales of non-traditional revenue opportunities, including Launch-A-Ball, and identify new opportunities to develop these sales areas.
• Coordinate and process all required employment paperwork for all part-time employees
• Properly track and submit all payroll information for part-time employees
Team Administration
• Assist in various administrative needs that occur on a regular basis, including: cash needs and travel and lodging management
• Help the Manager, Basketball Operations, to reconcile per diem and petty cash on a monthly basis during the season
• Assist in the administration of the annual local tryout, including processing all registrations.
• Take charge of all logistics related to team housing, including organizing furniture delivery, lease agreements, set-up of all necessary utilities and working with players and staff to ensure all living standards are being met.
• Support the logistics around the team-owned bus, including ensuring that all registrations and permits are renewed and maintained, and working with drivers to ensure maintenance and upkeep is performed to guarantee the safe operation of the vehicle.
Qualifications:
We are seeking an individual who demonstrates the following competencies:
• Bachelor's Degree with business focus or equivalent work experience
• Experience leading a team of 2 direct reports (full time or part-time) in a business operations-related role is preferred
• Previous experience working with senior level executives, as well as general office management
• Proficient in Microsoft Office software programs as well as finance management programs
• Knowledge of and experience with finance, accounting, budgeting, and cost control procedures as well as corporate accounting procedures involving procurement
• Skilled in budget preparation and management
• Ability to work with and maintain highly confidential information is required
• A hardworking and collaborative teammate with a positive attitude and strong work ethic
• Strong attention to detail with ability to prioritize and has impeccable follow through
• Initiative and dedication to challenge self and continually strive for improvement
• Excellent interpersonal skills with the ability to communicate effectively both verbally and in writing
• Basic knowledge of custodial, personnel and office management
• Ability to adapt, work effectively, and meet tight deadlines in a high-pressure environment
