A full service bi-costal commercial production company seeks a sharp, capable, solution-oriented individual for the Office Production Assistant position in the New York office.
The Office Production Assistant is responsible for the office's daily flow - answering phones, greeting visitors, maintaining office appearance, etc. In addition, he or she supports the staff, Executive Producers, Coordinators and freelance production teams with any production and personal needs that may arise.
We represent prominent directors and are looking for someone who can bring professionalism, personality, and dedication to the table.
The position is full time 9:00AM - 6:00PM, Monday-Friday. This position is perfect for someone looking for an entry-level job in the industry, or someone interested in production, commercials, or advertising.
Responsibilities include:
*Keep track daily of all incoming job boards via Excel spreadsheets
*Answering and screening all calls, greeting and directing visitors, running conference calls, handling all incoming/outgoing mail and packages
*Maintaining master Staff calendar
*Planning and organizing special office events: booking vendors, invitation lists, hiring help, managing budget, etc.
*Facilitating travel arrangements for executives/directors
*Assist freelance production teams with prep/wrap in office and on set as a PA
*Hiring and supervising office intern per semester
*Aiding in bid research by obtaining travel quotes, general location research, etc.
*Managing office supplies, office gifts, and appearance of office
*Tracking all jobs in File Maker, maintaining and distributing job report
*Making deliveries and office runs as needed
*Light accounting paperwork: handling and distributing office PC, cutting and logging checks for production teams, and tracking and filing office PO's
Requirements include:
*Expert in Microsoft Office Suite specifically Excel
*Proficient with Google Drive
*Proximity to NYC
*College degree
*Detail oriented
*Problem solver
*Mac proficient
*Knowledge of technical support
*Adobe Suite knowledge preferred
