Overview & Responsibilities
Based in New York, we are seeking an Executive Assistant to provide forward thinking support to the SVP, Music Business and Legal Affairs and team. This role is instrumental in supporting the overall goals of the department and will require you to be a detail orientated, innovative and flexible standout colleague in an ever-changing company landscape.
• Maintain and manage calendar appointments, contacts, and department specific distribution lists via Outlook, Travel coordination and management, travel and expense reconciliation
• Effectively coordinate internal and external meetings of multiple executives, book conference rooms, schedule zooms and conference calls
• Handle documents, agendas and agreements for Senior Vice Presidents including processing for execution and filing.
• Work efficiently and effectively with support departments i.e. travel management, facilities, IT help desk to fulfill job responsibilities
• As directed organize and distribute key assets and information internally and externally to key executives at agencies, record labels, film and tv production companies etc.
• Update key dept information such as contact lists, signatory lists, org charts, distribution lists, etc.
• Field and direct a high volume of calls /inquiries on behalf of the Senior Vice Presidents.
• Order and maintain office supplies.
• Build and maintain working relationships with other departments across the company, collaborate with and/or assist other Executive Assistants in the department as needed.
Basic Qualifications
• At least 5 years of administrative or executive assistant support in a corporate environment
• Advanced skills on MS Office Suite

• Strong written and oral communications skills with co-workers and executives at various levels within and outside the department and the company
