Position Description:
Cause & Affect is seeking an energetic and talented individual to support the Founder & CEO, as Executive Assistant, as well as helping to organize and coordinate office operations and procedures, in order to ensure organizational efficiency.
The candidate will have excellent communication skills (written and verbal), with strong attention to detail; outstanding organizational skills and the ability to prioritize tasks and manage multiple projects simultaneously; the ability to handle confidential information with discretion; and the willingness to grow his/her skills. S/he should be experienced meeting the needs of an entrepreneurial CEO and dynamic small-business environment, and be comfortable dealing with a diverse variety of people on the telephone, e-mail and in person, in a friendly, efficient and professional manner.
The ideal candidate also has excellent research and analytical skills, and has a demonstrated interest or background in nonprofits, professional service firms or media and entertainment.
Specific duties and responsibilities of the position include, but are not limited to:
-Drafting and editing letters, memos
-Putting together PowerPoint presentations and creating and managing Excel documents
-Maintaining the calendar, making appointments and arranging complex travel schedules and itineraries for executives engaged in multiple accounts and new business development
-Responding to incoming calls and other communications, ensuring that requests for action or information are relayed to the appropriate staff
-Managing company's day-to-day administrative operations, including vendor support, for office systems, including computers, photocopiers, printers, telephone
-Overseeing operational tasks that include expense reports, invoicing, consistent use of HR forms and adherence to policies, and print and electronic file systems
-Seeking ways to improve productivity and making suggestions for performance improvement to the relevant party
-Ability and willingness to run office related and/or CEO related errands on an as needed basis. Mileage will be compensated according to standard IRS reimbursement rate.
Essential Qualifications:
-Minimum 4-year track record of excellent performance in an executive assistant and office administrator role, ideally in media, entertainment, nonprofits or professional services
-Superior interpersonal and communication skills, both verbal and written English, as acknowledged by feedback from employers, their clients and business partners
-Excellent organizational and teamwork skills, including multi-tasking and meeting deadlines in a fast-paced entrepreneurial environment
-Strong working knowledge of office equipment and procedures
-Excellent word processing, database and file management skills
-Proven competencies in software applications and programs; experience with Excel, Microsoft Office and PowerPoint required
-Discretion and mature judgment in working with, and responding in a professional manner to, clients and colleagues and vendors
