POSITION SUMMARY: Campfire Studios is currently seeking an Executive Assistant to support both the CEO/Founder, Ross Dinerstein, and the EVP of Nonfiction Content, Rebecca Evans. As the Executive Assistant, you will be responsible for performing high-level administrative, project management support, and logistical tasks to alleviate responsibilities and ease the executive's workload.
Our ideal candidate is a confident and vibrant self-starter with a strong passion for film/tv and as well as working knowledge of the entertainment and media industry as a whole. They have the ability to create and adapt to processes, assemble task lists, and adequately prioritize to-dos, are tactful, well-versed in reading a room, and effective in communication. They take proactive ownership of the calendars and schedules, organize complex meetings, and showcase a proven ability to plan ahead and manage time effectively. Additionally, they are able to navigate interactions with high-profile individuals and manage sensitive information with professionalism and discretion. This position is in person 4 days per week and based at our dog-friendly Culver City office. This is a great opportunity for an individual looking for hands-on experience at an established and highly regarded production company.
Duties & Responsibilities:
Desk management: Provide comprehensive administrative support, including managing two complex calendars, scheduling requests, conflicts, meeting agendas, travel itineraries, and reservations.
Proactively plan itineraries; anticipate and execute calendar changes swiftly.
Communicate in a professional and effective manner over email, phone, and in person.
Managing internal project tracker(s) as needed.
Must be an attentive note-taker, able to capture key points and action items accurately during meetings and calls
Attend various meetings to discuss the development & production of both nonfiction and scripted slates (with the bulk of the work being in the nonfiction space)
Ability to work collaboratively with other members of the Operations and Content teams, senior leadership, as well as other assistants.
Ad hoc projects and other duties as assigned by the CEO and EVP.
Qualifications:
Outstanding interpersonal skills, team-oriented and positive attitude, with the ability to work cross-functionally across the organization.
High level of verbal/written communication and attention to detail.
Bachelor's Degree required.
Ideally, at least 1 year of administrative assistant experience (ideally at an agency), including answering phones, heavy meetings, and schedule coordination required.
Ability to prioritize tasks and solve problems creatively.
Must be a self-starter who can find ways to contribute beyond what is directly assigned.
Knowledge of Microsoft Office required.
Knowledge of Google applications (docs, sheets, drive etc.) required.
