Talent Coordinator & Executive Assistant to the CEO
Calliope West Artist Management
Los Angeles, CAThis is a Full Time Job
Job Title: Talent Coordinator & Executive Assistant to the CEO
Location: Los Angeles, CA (South Pasadena / Hybrid options after training)
Employment Type: Full-Time (40 Hours/Week Max)
A Note Before You Apply
In our company's spirit of moral transparency, we want to make sure this role is the right fit for you. We're specifically looking for someone whose heart is set on talent representation as their main, long-term career path-we're not looking for aspiring creatives, though we wish you well on that journey!
This role is designed as a launchpad for someone who wants to build a future as a Talent Manager, grow with our company, and focus on the business side of the industry for years to come. If that's you, we'd love to meet you.
The Opportunity: A Launchpad for Future Managers
We're a small, close-knit team looking for a resilient, sales-oriented, and exceptionally intelligent professional to join us.
This is a dual-function role where you'll operate well above the level of a standard assistant. You'll provide high-level executive support to the CEO while simultaneously training as a Junior Manager. We view the Talent Manager as the ''captain'' of an artist's service team-responsible for aligning short-term wins with long-term strategy.
This is not just an administrative job; it's a revenue-generating mentorship. We're looking for someone with vigorous alacrity-someone who moves with energy, joy, and purpose. Like the Calliope hummingbird we're named after, we work quickly and efficiently, and we help our clients achieve their dreams. If you're successful here, you'll grow quickly too.
What You'll Do
1. Talent Coordination & Business Development (The Sales Side)
Advocacy & Outreach: You'll serve as a relentless advocate for our clients. You'll eventually conduct proactive pitches to casting directors and producers via phone and email.
Talent Acquisition: Identify and scout prospective talent who fit our company culture.
Strategic ''Captaincy'': Collaborate with the CEO to help clients execute their long-term vision.
Revenue Generation: Actively contribute to company growth targets.
2. Creative & Technical Execution (The Media Side)
Design & Marketing: Use your graphic design skills to create pitch decks and client presentations that reflect our aesthetic.
Video Editing: Edit complex marketing media, client reels and clips (Premiere Pro/DaVinci Resolve) to ensure our roster is competitive.
Web & Tech: Update client profiles on industry platforms (Breakdown Services, Casting Networks) and manage web updates on multiple Wix websites. The more savvy you are with web design, the better.
3. Executive Operations (The Assistant Side)
Workflow Mastery: Manage the CEO's complex calendar, digital filing systems, and contract administration with high-level precision.
Educational Division Support: Provide administrative support to the company's non-entertainment-industry educational mentorship division (scheduling sessions, invoicing, and student coordination).
Logistics: Handle personal and professional errands, travel coordination, and sensitive tasks with discretion and reliability.
Who We're Looking For
Sales Resilience: You're comfortable with cold outreach and persistent in achieving outcomes-without sacrificing kindness.
Exceptional Intelligence & Communication: Superior written and verbal skills are necessary. You have a strong command of grammar and professional etiquette.
Entrepreneurial Mindset: You're superlatively creative with business. You think outside the box. You invent new ways to help clients and the company succeed.
Technical Proficiency: Strong skills in Video Editing and Graphic Design are nearly necessary for this role. You're fluent in Mac OS, Google Workspace, and MS Office.
Ethical Ambition: You have a clear desire to advance into a Junior Talent Manager role, guided by moral transparency.
Attention to Detail: You never make mistakes that could lead to lost business. You noticed that we've said here that every job application must include the word 'eudaimonia' or it will not be considered.
Loyalty: You want to find a long-term home at a small company and grow with it.
Reliability: You have proven trustworthiness and excellent professional references you're happy to provide.
