Position Title: Assistant to Chief Administrative Officer (CAO)
Location: Century City, CA (On-site)
Job Summary:
The Assistant to the CAO is responsible for managing a busy C-suite executive's office, handling high-volume scheduling, and supporting legal and administrative tasks. The candidate must be proactive, detail-oriented, and comfortable working with individuals across different levels.
Responsibilities:
• Manage a high-volume calendar and schedule
• Prepare daily “To-Do” lists and manage follow-up files
• Liaise with external legal counsels on litigation cases, subpoenas, and contracts
• E-file documents and handle document e-signing
• Access and run reports on legal databases (NetDocs, hCue)
• Organize and update hard copy files
• Handle internal and external scheduling requests, using strong judgment and flexibility
• Anticipate needs, solve problems, and manage emerging issues proactively
• Coordinate large meetings, lunches, and team meetings
• Coordinate complex travel arrangements, including logistics
• Assist with presentation materials and resources
• Complete monthly expense reports and administrative tasks
• Plan and coordinate team events
• Provide personal and professional administrative support as needed
Qualifications:
• BA/BS from an accredited university or college preferred (English or writing-intensive major preferred)
• 5+ years of relevant administrative experience
• Proficiency in Microsoft Outlook, PowerPoint, Word, Excel, and Adobe Acrobat
• Strong organizational, interpersonal, and communication skills
• Ability to handle sensitive and confidential information with discretion
• Strong multitasking and project management skills
• Ability to work in a fast-paced, team-oriented environment
• Resourcefulness and good judgment
Compensation:
$30.00 - $40.00 per hour, plus benefits and discretionary bonus.
