Overview
The Role
We are looking for an assistant who will provide administrative support to an Agent in our Music Touring Department. The ideal candidate should be motivated, interested in the booking space, quick- thinking and open to working in an environment where he/she is capable of performing administrative tasks in a fast-paced environment.
Responsibilities
• Manage scheduling, travel booking, expense reporting, phone coverage, and other administrative duties
• Coordinate communication with promoters and artist management teams
• Maintain detailed tracking of offers, contracts, deposits, and final payments
• Manage client payments and venue agreements
• Assist with deal negotiation and analysis
• Audit show settlements, including expense and ticket reconciliations for CAA clients
• Maintain and distribute internal vendor recommendations and venue grids
• Assist with research projects and compiling information from various sources
• Communicate weekly with other offices to ensure timely settlement of engagements
Qualifications
• BA/BS from an accredited University or College preferred.
• At least 1 year of professional administrative experience supporting an executive in a fast-paced environment.
• At least 1 year of professional experience working in the music industry.
• Experience working at an agency is a plus but not required .
• Working knowledge of tour deals and one-off engagements
• Ability to anticipate needs and execute time sensitive matters in a fast-paced environment.
• Ability to multitask and prioritize efficiently.
• Highly detail-oriented with exceptional organizational skills
• Ability to work well under pressure; meet tight deadlines.
• Strong organizational and communication skills; written and verbal.
• Strong research, analytical, and problem-solving abilities
• Strong professional interpersonal skills, while understanding the importance of maintaining confidentiality.
• Advanced proficiency in Microsoft Excel (including exporting PDF's to Excel)
