Job Description
Who We Are
The Role
We are seeking a dedicated, professional, and high-energy individual to join our team as Office Operations Support at our New York office. This role is a fantastic opportunity for someone who is service-oriented and eager. As the first point of contact for visitors and clients, you will play a key role in creating a welcoming and efficient office environment. The Global Operations - Office Operations Support position has a projected career path into Corporate Facilities.
Responsibilities:
Frontline Representation:
• Serve as the first point of contact for all visitors and callers, embodying the company's values and professionalism.
• Manage the reception area to ensure a welcoming and efficient environment.
Employee Assistance:
• Provide support to employees by coordinating meeting rooms, handling correspondence, and managing office supplies.
• Facilitate internal communications and assist with onboarding processes.
Special Projects:
• Participate in and lead various projects that contribute to the improvement of office operations and employee experience.
• Collaborate with other departments on company-wide initiatives.
Conference Room Booking:
• Schedule and manage conference room calendar and bookings for the NY offices.
• Partner with supporting departments to ensure seamless operation of all technical aspects.
Facilities Management:
• Work closely with the facilities team to maintain a safe, efficient, and pleasant work environment.
• Act as a key player in emergency response and building maintenance processes.
Qualifications:
• Professionalism and Discretion: Demonstrated ability to maintain a high level of professionalism and confidentiality.
• Technical Proficiency: Experience with AV equipment and basic IT troubleshooting.
• Organizational Skills: Exceptional organizational and multitasking abilities.
• Communication: Strong verbal and written communication skills.
• Problem-Solving: Proactive in identifying issues and finding solutions.
• Customer Service Orientation: Dedication to providing excellent service to both internal and external stakeholders.
• Friendly, approachable, and service-oriented attitude.
• Ability to handle sensitive information with confidentiality.
• Professional appearance and demeanor.
• High energy level and ability to maintain a positive attitude in a fast-paced environment.
• High school diploma or equivalent; additional qualifications in office administration are a plus.
• Proven experience as a receptionist, front desk representative, or similar role.
• Excellent verbal and written communication skills.
• Strong organizational and multitasking abilities.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Location
• This role is based in the New York office from Monday - Friday, 9 am - 6 pm.
Compensation
T he base hourly rate for this position is in the range of $20.00 - $27.00. This position also is eligible for benefits and discretionary bonus. Ultimately, wages may vary based upon, but not limited to, relevant experience, time in role, business sector, and geographic location, among other criteria.
