The Facilities & Maintenance Coordinator will provide support to the Facilities Lead/Department, providing key support related to Facilities management . The Facilities & Maintenance Coordinator is administratively and technically capable of handling a high volume of tasks with ability to clearly communicate with management, a gents, e xecutives, and vendors. They are fiscally minded and aware of cost implications of decisions. They actively review and seek opportunities for process improvements and cost savings.
Responsibilities
Responsible for day-to-day facility related tasks including but not limited to:
• Research vendor pricing to conduct internal benchmarking and/ or market price for local suppliers in the Northeast region
• Maintain and routinely update NY office facility project & savings tracke rs and solicit updates from appropriate team members
• Create and maintain a dynamic ''preferred vendor'' list for the NY office
• Conduct office supplier/ vendor invoice review, forward to Facilities lead for approval and AP submittal
• Manage BMS system – interface with building engineering when issues arise, monitor office temperature through software
Facilities Maintenance
• Coordinate preventative maintenance and on-site maintenance and repair issues of all office equipment
• Oversee storage facilities in building and maintain accurate /current list of furniture, art, supplies and equipment . Work with Legal on our inventory list to assure all valuable art/furniture is cataloged and properly insured.
• Moves and assembles all of the furniture, standing desks, chairs etc
• Hands-on work of all office repairs, preventative maintenance and general upkeep of the facility with special attention to more involved operations or projects
• Completes general interior office maintenance and upkeep to include: minor plumbing, light carpentry, painting , floor/carpet maintenance & cleaning, replacing light bulbs and lighting, water filters , hanging art/pictures and miscellaneous minor repairs as needed.
Qualifications
• Current working knowledge of general maintenance and experience in a facilities/maintenance department preferred.
• Basic to advanced knowledge and the ability to repair, maintain and troubleshoot:
• Flooring /Carpeting
• Painting/Plastering
• Appliances
• Experience in an agency, studio, and/or talent management setting preferred.
• Ability to work well under pressure; meet tight deadlines; manage multiple projects and expectations; and maintain a sharp focus while managing competing priorities.
• Attention to detail, strong organization and problem-solving skills are a must.
• Strong interpersonal skills, while understanding the importance of maintaining confidentiality.
• 2+ of experience in facilities maintenance or related carpentry/construction.
• Strong command of computer applications and IWMS/CMMS systems.
Location
This role is based out of the New York office.
Compensation: The base hourly rate for this position is in the range of $23.00 - $28.00. [ For Regular Full-Time or other benefit/bonus eligible roles only: This position also is eligible for benefits and discretionary bonus.] Ultimately, wages may vary based upon, but not limited to, relevant experience, time in role, business sector, and geographic location, among other criteria.
