Creative Artists Agency (CAA) is seeking an Assistant to support the CAA Travel Team. This individual will be responsible for supporting CAA's Travel Program in partnership with the domestic travel team and support all related travel administration activities. The role will be required to provide both general administrative services as well as day-to-day administrative services relating to the travel tool. This individual must have a strong customer experience mindset and ability to manage multiple priorities simultaneously. The travel department assistant will be dedicated to promoting & driving travel adoption, providing administrative & technical support for small group movements as needed, and provide on-going training and support to CAA's travelers and their assistants. They are fiscally minded and will be responsible for monitoring and tracking travel group savings. The role will report into to the domestic travel lead with alignment to Sourcing & Business Services office.
Responsibilities
• General administrative duties including handling heavy phones, calendar management, note taking, and general office management tasks.
• Travel administrative duties include providing troubleshooting assistance for frequently asked traveler questions, assistance with updating traveler profiles as needed, as well as tracking down invoices and travel records as needed.
• Tracking all groups & meetings projects, documentation of savings, travel pipeline, meeting agendas, and more.
• Excellent follow-up and quick follow through.
• Ability to quickly learn new travel systems and become a SME for travel on-boarding.
• Assist department with contract filing and organization.
• Follow up on groups and meetings tasks such as rooming lists, billing, and financial commitment dates.
• Facilitate requests using group travel tool.
• Handling of guest/client invitations for travel.
Qualifications
• The successful candidate for this role will ideally have 2+ years of corporate travel experience at a global company, preferably entertainment/production and high touch travel program experience required.
• Ability to work well under pressure; meet tight deadlines; manage multiple projects and expectations; and maintain a sharp focus while managing competing priorities.
• Attention to detail, strong organization and problem-solving skills are a must.
• Able to function effectively as part of a loosely coupled but highly aligned team.
• Flexible, with the ability to pivot and adjust to the needs of the department.
• Excels in internal customer service.
• Able to anticipate potential problems and knows when to ask for assistance and escalate issues when needed.
• Creative and out of the boxing thinking is required, as well as a ''yes'' attitude for our employees and clients.
Location
• This role is remote.
- Compensation: The base hourly rate for this position is in the range of $22.00-$25.00. This position also is eligible for benefits and discretionary bonus. Ultimately, wages may vary based upon, but not limited to, relevant experience, time in role, business sector, and geographic location, among other criteria.
