The Role
We are looking for a Department Assistant to provide administrative support to the Benefits, Compensation, and Member Services teams and white-glove service to members. The individual must be comfortable working with people in a variety of roles both within and outside of the company. This is an excellent opportunity for someone interested in growing and expanding their knowledge of both the compensation and benefits functions. This hybrid position requires onsite presence four days a week or more, as mandated by the business.
Responsibilities
Provides department administrative support to Benefits , Compensation and Member Service team s . Responsibilities include:
• Manages calendars and phones for all assigned executives on the team , setting up and managing meetings, reserving conference rooms , greeting and directing visitors, etc.
• Handles internal and external requests for meetings, utilizing strong judgment in prioritization and flexibility to meet scheduling changes and shifting priorities.
• Schedules travel, processes expense reports, and invoices, and coordinates logistics for team meetings , and events .
• Receives inquiries from CAA Members and either handles questions, or routes to the appropriate team member.
• Responds to questions submitted through the HR general phone line , related to routine questions on benefits and compensation policies.
• Periodically provides administrative support to the Global SVP of Compensation and Benefits when they are working in person in the Los Angeles office (approx. once per month).
• Collects, reviews and analyzes data and prepares reports, charts, budgets, and other presentation materials utilizing Workday, the Microsoft Office Suite, specifically Word, Excel and PowerPoint, and specialized software.
• Compiles statistics and distributes reports or other communications on a regular schedule .
• Maintains files, databases, and archives of relevant documents and records , and manages version control.
• Creates, p roofreads, format s, prints and assembles confidential meeting materials.
• Ensures deliverable are error free and on time .
• Performs other duties assigned, as needed .
Qualifications
• Associate's degree or equivalent relevant experience required.
• 1 -3+ years' of administrative support experience, preferably in Compensation, Benefits, Member Services, or a related Corporate department.
• Experience providing administrative support to multiple executives and team members .
• Demonstrated ability to effectively interact with senior-level executives and their assistants and coordinators.
• Demonstrated ability to maintain strict confidentiality in handling and preparing sensitive compensation, benefits, or member services documents, presentations and reports .
• Possess e xcellent customer service mindset , strong verbal and written communication skills.
• Must be highly organized, resourceful and possess good judgment .
• Interest in working in and learning about areas such as compensation, equity, benefits, HR operations, etc.
• Intermediate or advanced level proficiency working in Microsoft Office Suite, specifically Word, Excel and PowerPoint .
• Professional & proactive demeanor , detail oriented and possess superior organizational skills .
• Must be a ble to work independently in a fast-paced and team-oriented department.
• Must be able to juggle multiple competing priorities in a fast-paced, deadline-driven environment and be able to quickly adjust to new priorities and circumstances.
Location
This position will be based in our LA office with a minimum of 4 days a week in the office .
Salary/Benefits
$28.00 - $33.00 /hour USD
Wages may vary based upon relevant experience, time in role, business sector, and geographic location.
