As the Client Trust Supervisor, you will report directly into the Financial Controller and play a key role in supporting the finance activities for the continually growing CAA business. The role has a wide range of responsibilities and will require someone who can work accurately and to tight deadlines. Teamwork will be essential.
SUMMARY OF MAIN RESPONSIBILITIES
• Maintaining the quality and integrity of the Client Trust processes, develop and streamline policies and procedures to enhance the Trust Function
• Establishing strong, collaborative relationships with key clients to deliver continuous improvements in our client payment and invoicing processes to match their needs and expedite resolution of any issues
• Ensuring client set up procedures are adhered to, including independent bank account verification
• Logging of contracts, and issuing and logging invoices for payment
• Chasing payment from Publishers/Co-agents on a monthly/quarterly basis, and escalate where necessary
• Identification and breakdown of bank receipts to the NY and London accounts, including recording to deal and invoice logs
• Processing of fees to CAA US
• Preparation of commission payments to Curtis Brown including reconciling approved amounts to local logs
• Preparation of various reports including outstanding contracts, and current/past dues
• Assist with miscellaneous client queries including projected income, payments, and tax
• Co-manage the Client Trust Publishing Accounts team on a day-to-day basis, with the support of the Financial Controller
• Prepare and submit tax forms to the relevant publishers/co-agents, including 8802 application preparations and territory tax forms
• Setting SMART objectives and performing annual staff appraisals
• Assisting the Financial Controller with any ad hoc projects
• Complete various reporting and analysis of commission transactions and cash collections
• Maintain financial schedules and ledgers in compliance with company policies and procedures
• Perform monthly, quarterly, and year-end close procedures
• Review and approve bank payments to clients including preparation of all supporting documentation
• Assist with the annual statutory audit
• Assisting with preparation of the annual budget and annual reforecast
• Identify areas for continual process improvement
QUALIFICATIONS/REQUIREMENTS
• Must have previous experience working in the Publishing Industry in an Accounts position
• Must have strong ability to multi-task and manage various tasks simultaneously
• Must have a high level of attention to detail and great organisational skills
• Excellent written and verbal communication skills are essential as the role involves dealing with both internal and external stakeholders
• A team player with a conscientious and motivated attitude
• Good Excel proficiency e.g. VLOOKUPs and Pivot tables
• Experience in Microsoft Dynamics 365 and SAP is desirable
• Key stakeholder management experience is required
• Proven ability to manage a team and ledger
• Ability to work to and thrive under tight deadlines
• Ability to self-motivate and time manage
