CAA clients deliver compelling and often personally relevant messages at business conferences, political and social justice forums, commencement ceremonies and myriad other dynamic events. These speaking engagements are designed to enlighten and inspire, with topics including business, contemporary culture, media, wellness, tech, and the arts and entertainment. CAA Speakers is an expanding department with long-term opportunities for those who are interested in working with various types of clients across the Agency.
The Role
The Speakers Department Business Affairs Administrator's role is to draft, revise, and execute speaking agreements in a timely and efficient manner. They are responsible for tracking incoming funds and assisting with the internal accounting process to ensure payments are paid and received promptly. The role requires coordinating with all agents and support staff in the department to ensure deal flow moving forward without interruption.
Responsibilities
• Draft agreements for a high volume of confirmed speaking engagements and personal appearances
• Negotiate directly with buyers and client teams with Agent support
• Review and red line agreements as needed per discussions with the buyers and clients, supported by individual agents who have negotiated each deal
• Follow through with the agreements from creation to full execution
• Invoice buyers and track monies owed for each engagement
• Create booking reports for each agreement event noting event date, commission, and other payment details
• Vendor set up and creation with various buyer accounting systems
• Ensure funds are received in accordance with each individual agreement
• Work with other agents, client attorneys and managers to obtain client materials needed for agreements and payment
• Update the department's internal database on contract and payment status throughout lifetime of the deal
• Maintain and update department database with client preferences and client specific deal terms
• Maintain department sales database and applications through data entry
Qualifications
• BA/BS from an accredited University or College or equivalent work experience required
• 1-2 years of experience as a paralegal or legal background
• Law degree preferred
• Organized, efficient, and detail oriented
• Excellent communication skills
• Experience that demonstrates the ability to multitask and constantly reprioritize workload
• Thrives in a fast-paced, high volume work environment
• Microsoft Word and Excel proficiency
• Able to manage a high frequency of deal flow
• Creative problem solving
• Anticipation of client / buyer needs
• Work well with others
