The Role
CAA Sports is seeking an Administrative Assistant to directly support an Executive in their day-to-day success as well as the success of the overall department. This role will focus on administrative efforts including scheduling, booking travel, managing a high volume of calls and emails. The Administrative Assistant will also be involved in conducting industry research, maintaining internal CRM database, shadowing client facing meetings and communicating with internal and external stakeholders. The position relies on excellent written and verbal communication, project management and organizational skills. They will be interfacing with members of CAA Sports' full-scope of business including Property Sales, Talent Sales, Brand Consulting, Client Serving, and Executive Search.
The Department
CAA Sports represents more than 1,000 of the world's best athletes in football, baseball, basketball, hockey, soccer, tennis, action sports, and golf, in addition to coaches and other pre-eminent personalities. Beyond on-field athlete representation, CAA provides unique opportunities for clients off-field, in areas including endorsements, licensing, speaking, philanthropy, video games, and digital. CAA Sports also works in the areas of broadcast rights, corporate marketing initiatives, hospitality, trademark licensing, and sports properties for sales and sponsorship opportunities, and oversees the development, design, and construction of major sports stadiums and arenas globally.
Responsibilities
• Proactively and effectively communicate with the department lead
• Strong organizational support for day-to-day business operations
• Manage a heavy volume of phone call and email coverage
• Understand the importance of effective communication and cross departmental collaboration
• Adhere to brand guidelines and complete projects within a given timeframe
• Liaise with external executives, buyers and clients
• Manage CRM database to maintain flow of client and partner communication
• Consult with internal Communications team on content creation for deck and presentation development
• Communicate with clients
• Manage administrative duties including heavy calendar management, scheduling, processing expense reports and general office management tasks
• Support unique and miscellaneous projects as needed to support our current client roster
Qualifications
• BA/BS Degree preferred
• 0-2 years of work experience
• Prior administrative experience in scheduling, calendar management, rolling calls, expense reports
• Effective written and verbal communication
• Ability to conduct research and competitive analysis
• Familiarity or experience with Salesforce is preferred
• Familiarity or experience with Excel
• Ability to multitask, manage priorities, stay organized and work well in a fast-paced environment
• Knowledge of the sports and entertainment industries and emerging trends
