We are currently seeking experienced, energetic, intelligent, and motivated professionals for the following position to work on numerous exciting upcoming projects:
• Management Assistant
Current and upcoming projects include: The Off-Broadway New York premiere of the successful UK Immersive Great Gatsby production, the premiere opening of a unique immersive dining experience called Journey, the International Tour of The Sound of Music directed by Jack O'Brien, the International Marilyn Monroe Experience, as well as up and coming International tours of the Tony Award winning musical An American In Paris as well as the Olivier nominated musical Amelie and other productions and tours of Broadway musicals and immersive entertainment.

Description:
The Management Assistant will handle the daily business related to these upcoming commercial theatre productions, support general and company management reporting directly to the world renowned Tony Award winning producer and general manager Marc Routh, and primarily assist in finance and administrative operations. Successful applicants will be organized, be good-humored and self-motivated and possess excellent communication and writing skills.
Requirements:
• 2-4 years of professional experience in the administrative side of the theatre industry preferred, other administrative experience welcomed.
• Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
• Must have very strong written and verbal communication skills and problemsolving skills
• Highly resourceful team-player, with the ability to also work independently with excellent follow up skills
• Proven ability to handle confidential information with discretion and be adaptable to various competing demands and with the ability to multi-task
• Expert in Microsoft Office (Excel and Word), Adobe Acrobat
• Familiarity with QuickBooks preferred but not required
• Full Time position
Responsibilities:
• Supporting General Managers and Finance on all aspects of production, including contracting, budget maintenance, insurance applications, visa applications, company travel logistics, and more
• Overseeing office management, including keeping track of all external bills to ensure they are paid on time, and overseeing all purchases for office supplies (in collaboration with Interns)
• Assisting in credit card management, including working with Executive Assistants and/or Interns to be responsible for the timely payment and correct coding of over a dozen credit cards
• Supporting the Director of Operations and Associate Finance Manager, working to ensure weekly bills are paid, occasionally analyzing financial reports as needed, applying for new credit cards and opening new bank accounts, ect.
• Administrative support tasks such as taking meeting notes, scheduling meetings, calendar oversight, and proper filing of documents Position Start Date: Immediately
