• Support Vice President, Director of Operations, and Guest Experience Manager in general operations and related tasks.
• Maintain the Broadway In Boston office, kitchen, conference room, and storage areas in an organized and clean manner to ensure an efficient and comfortable working environment.
• Liaise with third-party vendors to ensure appropriate billing, delivery, and cleanliness.
• Liaise with office landlord to ensure fluent communication including building work schedules, building events, and other operational office needs.
• Maintain appropriate levels of office and kitchen supplies and replenish as necessary.
• Answer incoming telephone calls from main number and maintain general office email inboxes. Assist with customer service inquiries or direct to appropriate staff members.
• Be fluent in all customer service policies at Broadway In Boston and at the Charles Playhouse, a Broadway In Boston venue.
• Assist Guest Experience Manager with Subscriber and eClub account management in Archtics ticketing system, and fulfill related calling projects.
• Receive, code, and process all incoming invoices for payment and liaise with finance department to resolve disputes and payment issues.
• Open, sort, and distribute all incoming mail.
• Assist VIP Concierge and Guest Experience Manager with VIP Subscription Program.
• Provide general administrative support to the office as directed by Vice President. This can include, but is not limited to: filing, copying/scanning, data entry, Marketing & PR support, Social media support, creating expense reports, submitting invoices for approval, responding by phone or email to patron questions, and other general operational support.
• Assist with Front of House duties as needed.
Qualifications:
• 2+ years' experience working in an office or customer service setting.
• Familiarity with theater and ticketing systems preferred, but not required.
• Strong attention to detail and ability to multi-task.
• Great customer service skills.
