BOX OFFICE SUPERVISOR
The Box Office Supervisor is responsible for the day-to-day operations of the box office, providing direction and leadership on a daily basis to the box office staff, management and scheduling of the box office staff, and working with the Ticketing Operations Manager, Blue Man General Manager, and BIB General Manager regarding inventory management. Other job responsibilities include:
- Box Office Operations
Ensure that all box office reports, wraps, box office statements, and other reports as needed are executed in a timely and accurate manner.
Oversee and manage all box office accounting, including daily operator reconciliations, end of day balancing, and cash deposits.
Build all performance events in Ticketmaster and ensure that all pricing, dates, and times are correct.
Continually monitor all performances to ensure correct pricing, dates, times, and other pertinent information.
Ensure the fulfillment of house seats, comps, and trade requests.
Monitor and maintain all ticketing processes and activities including, but not limited to, window sales, phone orders, group sales, gift certificates, hotel concierges, and third party partners.
Oversee and manage the ticket trade process for promotions.
Maintain and manage all box office accounting, including daily operator reconciliations, end of day balancing, and cash deposits.
Manage all end of month billing and reconciliation with third-party ticket sellers.
Serve as main contact for third-party ticket sellers.
Assist the General Manager of BIB in weekly and quarterly sales forecasting providing specific analysis of single ticket, group, and third-party sales trends.
- Inventory Management
Consult with the Ticketing Operations Manager and Blue Man General Manager regarding inventory, providing recommendations on pricing, releases, holds, special offers, promotions, and discounts.
Actively participate in the weekly ticketing reporting process and make pricing recommendations at the weekly meeting.
Assist the BMP Resident General Manager in the generation of the performance calendar in order to maximize sales and profitability.
- Supervise box office personnel.
Supervise Box Office Associate and Ticketsellers.
Oversee the hiring, on-boarding, training, and evaluation of all box office personnel.
Manage the box office work environment to ensure employee morale and provide conflict resolution, as needed.
Lead regular box office department meetings.
Ensure that all box office personnel observe a performance of Blue Man Group at least twice a year in order to keep them excited and familiar with the show.
Promote positive and open communication between the box office staff, BMP staff, BIB staff, and the public.
Create work rules and regularly review with box office personnel.
Ensure that no box office personnel:
knowingly engages in obtaining tickets for a ticket agency, broker, scalper, or their agents;
Knowingly discloses confidential information with respect to availability or release of ticket from hold status to any ticket agency, broker, scalper, or their agents;
Solicits or accepts any cash or other payment, or any form of renumeration or consideration, in exchange for the sale of tickets
- Execute other duties as assigned by the BIB General Manager, the Inventory and Ticketing Operations Manager, or the BMP Resident General Manager.
SKILLS AND QUALIFICATIONS
The Box Office Supervisor is expected to provide general oversight of all box office operations, demonstrate leadership, and ensure open communication in order to contribute towards a dynamic and confident work environment. This involves many tools and approaches, including:
- Providing information and resources to associates,
- Coaching and developing associates for current and future duties,
- Balancing concern for the morale of the staff with a result-oriented environment,
- Communicating expectations, asking questions of staff and management,
- Seeking expertise, advice and perspective,
- Being flexible with priorities and job duties,
- Providing support across the organizations,
- Continually re-evaluating the status quo and identifying areas for improvement and change,
- Proactively using slower periods to improve work, take on archiving projects, and general organization.
The BOS must be diligent in ensuring a positive customer service experience, training the staff in proper customer relations and proving feedback and taking corrective measures, as needed. Customer service is paramount and often the first experience the customer has with the show. Continually providing direction on how to provide a positive experience for the customer and holding the staff accountable is vital.
Lastly, multiple projects and responsibilities must be managed at the same time, requiring prioritization of duties and the proper delegation of work to guarantee timely and efficient outcomes. The Box Office Supervisor will work closely with the Box Office Associate to ensure continuity of ticketing operations.
