ASSISTANT BOX OFFICE SUPERVISOR
Full-Time, Non-Exempt
Location: Boston, MA
Reports to: Box Office Supervisor
Broadway In Boston, Boston's leading theatrical presenter and producer of Broadway since 1984, is seeking a highly motivated, customer service oriented candidate to fill the Box Office Associate position at the Charles Playhouse. The Charles Playhouse consists of two theatres; the downstairs 200-seat theatre, home to the comedy whodunit Shear Madness and the 500-seat Main Stage Theatre, home to the long-running smash hit Blue Man Group.
The Box Office Associate is responsible for working alongside the Box Office Supervisor in the management and maintenance of box office operations, functionality, accountability, and customer relations. Primary responsibilities include:
- Assist the Box Office Supervisor in the follow duties:
o Preparing all box office reports, wraps, box office statements, and other reports as needed are executed in a timely and accurate manner.
o Box office accounting, including daily operator reconciliations, end of day balancing, and cash deposits.
o Assist in the building of performances and checking for accuracy of pricing, dates, times, and other pertinent information.
o The fulfillment of house seats, comps, and trade requests.
o The monitoring and maintenance of all ticketing processes and activities including, but not limited to, window sales, phone orders, group sales, gift certificates, hotel concierges, and third party partners.
o Communicating with Ticketmaster to build performances and promotions, schedule on-sales, and resolve issues.
o Management of the ticket trade process.
o All box office accounting, including daily operator reconciliations, end of day balancing, and cash deposits.
o End of month billing and reconciliation with third-party ticket sellers.
o Assisting the General Manager of BIB in weekly and quarterly sales forecasting providing specific analysis of single ticket, group, and third-party sales trends.
o Monitor the advance and consult with the Ticketing Operations Manager and Blue Man General Manager regarding inventory, providing recommendations on pricing, releases, holds, special offers, promotions, and discounts.
o Ensure that no box office personnel:
- knowingly engages in obtaining tickets for a ticket agency, broker, scalper, or their agents;
- Knowingly discloses confidential information with respect to availability or release of ticket from hold status to any ticket agency, broker, scalper, or their agents;
- Solicits or accepts any cash or other payment, or any form of renumeration or consideration, in exchange for the sale of tickets
- Sell and process individual ticket sales both in person, over the phone and via mail
- Must be able to stand/or sit for extended periods of time and work extended and irregular hours according to performance schedule.
- Execute other duties as assigned by Box Office Supervisor.
Candidates for this position will have at least 1 year experience in in a box office or in-person sales environment and must be extremely customer service oriented. Ideal candidates will be proficient in Word and have solid experience with and knowledge of Microsoft Excel. At least 1 year of experience with ticketing software is required, experience with TicketMaster is preferred. The Box Office Associate works mostly nights and weekends, including holidays when there are performances at the Theatre. ,A 4-year degree in Arts Administration or Management is preferred but not required.
Multiple projects and responsibilities must be managed at the same time, requiring prioritization of duties and the proper delegation of work to guarantee timely and efficient outcomes. The Box Office Supervisor will work closely with the Box Office Associate to ensure continuity of ticketing operations.
